Available permission settings

The permissions described below define what team members can do in Gong. In some cases, a team member may have permission to do something, but the capability won't be available to them because they don't have a paid seat. For example, the permission to score a call can be given to any team member, but if they don't have a paid seat, this capability will not be available. For more about seat assignment, see Plans and seats

For Engage users, the settings that affect which to-dos a team member can view are Calls, Emails, and Deals.

Calls

Set which calls a team member can access. This setting doesn't affect reporting and other features that leverage call data, like coaching metrics.

For Engage users, this setting affects which to-dos a team member can see, and whether they can view only their to-dos or someone else's.

  • ALL: Gives access to all available calls.

  • THEIR MANAGER'S TEAMS: Gives access to any call that their manager and other team members with the same manager participated in, whether as a host, invitee, or attendee. This includes the entire hierarchy tree under that team member's manager.

  • PEOPLE WHO REPORT TO THEM: Gives access to any call that one of their team participated in, whether as a host, invitee, or attendee. This includes the entire hierarchy tree under that team member.

  • THEIR OWN: Gives access only to calls they participated in, whether as host, invitee, or attendee.

  • SPECIFIC TEAM MEMBERS: Create a custom list of people whose calls team members with this profile can access. Start typing the names of individuals, and select the team member from the list. If you select a team leader, the team leader and the entire hierarchy tree under them are included.

Regardless of the permission you set, any team member can access calls shared with them. This includes calls where they are mentioned in a comment and calls in library folders they can have access.

Emails

Set which emails a team member with this profile can access. This setting does not affect reporting and other features that leverage email data such as warnings based on red flags identified in emails.

For Engage users, this setting affects which to-dos a team member can see, and whether they can view only their to-dos or someone else's.

  • ALL: Gives access to all available emails.

  • THEIR MANAGER'S TEAMS: Gives access to any email thread that their manager and other team members with the same manager are part of. This includes the entire hierarchy tree under that team member's manager.

  • PEOPLE WHO REPORT TO THEM: Gives access to any email thread that one of their team is part of. This includes the entire hierarchy tree under that team member.

  • THEIR OWN: Gives access only to email threads they are part of.

  • SPECIFIC TEAM MEMBERS: Create a custom list of people whose email threads team members with this profile can access. Start typing the names of individuals, and select the team member from the list. If you select a team leader, the team leader and the entire hierarchy tree under them are included.

Library

Gong libraries contain folders and streams with Gong calls. Select the library folders and streams that can be seen and managed by team members with a specific profile.

Access to the Company Library

The Company Library refers to folders and streams available across the organization.  For folders, team members will see and have access to all calls. For streams, team members will see all calls, and access will be given according to the permissions set above, under Calls.

Select which library folders a person with this profile can access - none, all, or selected folders only (and select the desired folders).

Manage folders and streams

Decide how team members can manage folders, streams, and calls in the Company Library and Your Library. Your Library refers to locations where calls are shared with specific people and teams or are kept private. The Company Library refers to locations where calls are available across the organization, based on what is set above.

Set what a team member with this profile can manage in the library:

  • Folders: Create, edit, and archive folders in the Company Library you selected above. Editing includes deleting, renaming, copying, and moving folders.

  • Calls in folders: Add or archive calls in the Company Library you selected above.

  • Streams: Create, edit, and archive streams in the Company Library and Your Library.

    Access to this permission requires the purchase of a Professional seat. See paid subscription.

  • Folder sharing: Share folders in Your Library with other team members. Members will be able to add calls to the shared folder. Access to this permission requires the purchase of a Professional seat. See paid subscription.

Deals

Set which deals a team member with this profile can access:

For Engage users, this setting affects which to-dos a team member can see, and whether they can view only their to-dos or someone else's.

  • ALL: Gives access to all deals.

  • THEIR MANAGER'S TEAMS: Gives access to their own deals, and deals owned by their manager and everyone reporting up to their manager.

  • PEOPLE WHO REPORT TO THEM: Gives access to their deals and deals owned by everyone reporting up to them.

  • THEIR OWN: Gives access to their own deals only.

  • SPECIFIC TEAMS: Create a custom list of people whose deals team members with this profile can access. Start typing names of individuals, and select the team member from the list. If you select a team leader, the team leader and the entire hierarchy tree under them are included.

What to expect

If access to a certain deal is blocked, this deal is removed from view. If the permission settings mean that a person has access to a call or email associated with a deal they do not have access to, they will have access to the call but the deal information will be hidden from them.

Coaching stats

Select which coaching stats a team member with this profile can access in the Coaching > Coaching Inbox and Coaching Metrics pages:

  • ALL: Gives access to all stats.

  • THEIR MANAGER'S TEAMS: Gives access to their own stats, and the stats of their manager and everyone reporting up to their manager.

  • PEOPLE WHO REPORT TO THEM: Gives access to their own stats, and the stats of everyone reporting up to them.

  • THEIR OWN: Gives access to their own stats only.

  • SPECIFIC TEAMS: Create a custom list of people whose stats team members with this profile can access. Start typing names of individuals, and select the team member from the list. If you select a team leader, the team leader and the entire hierarchy tree under them are included.

Insights stats

Select which stats a team member with this profile can access in the Insights > Team, Initiativesand Market pages:

  • ALL: Gives access to all stats.

  • THEIR MANAGER'S TEAMS: Gives access to their own stats, and the stats of their manager and everyone reporting up to their manager.

  • PEOPLE WHO REPORT TO THEM: Gives access to their own stats, and the stats of everyone reporting up to them.

  • THEIR OWN: Gives access to their own stats only.

  • SPECIFIC TEAMS: Create a custom list of people whose stats team members with this profile can access. Start typing names of individuals, and select the team member from the list. If you select a team leader, the team leader and the entire hierarchy tree under them are included.

Call and email actions

Select the actions a team member with this profile can perform on calls and emails they can access.

  • Score calls : Gives the ability to score calls. You need a Gong professional seat to activate this permission. See Plans and seats.

  • Download call media: Gives people an easy way to download call media directly from the call page.

    Note

    Enabling this action can potentially infringe data protection & privacy regulations.

  • Share calls with customers: Lets people share calls with customers and other people in your company who don't use Gong. Manage the call access in the Data protection & privacy settings page. Go here for more information.

  • Manually schedule & upload: Lets people use the Schedule and Upload options on the Gong homepage, record calls ad hoc on the Gong mobile app, and to record calls forwarded to [email protected]. You need a Gong professional seat to activate this permission. See Plans and seats.

  • Set calls they own as private: Lets call owners restrict access to their calls by setting the call as private. For more info on private calls, go here.

  • Trim part of the call: Allows call owners to trim parts of their own calls.

  • Delete calls: Lets people delete individual calls from the call page.

  • Delete emails: Lets people delete emails from the account page. They can only delete emails that they have access to, according to the settings above.

Pages

Set which Gong pages a team member with this profile can access.

  • Conversations: Gives access to the Conversations page.

    • Search: Gives users the ability to search in conversations and calls

    • Library: Gives access to the library

  • Deals: Gives access to the Deals page. You need a Gong professional seat to activate this permission. See Plans and seats.

    If selected, give additional permissions:

    • Create, edit, and delete boards

  • Forecast: Gives access to the Deals > Forecast page. You need a Forecast seat to activate this permission. See Plans and seats.

    If selected, give additional permissions for admins:

    • Manage the forecast board and upload targets: Gives the ability to manage business lines and forecast boards. Read more about setting up the board.

  • Account: Gives access to the account pages.

  • Coaching: Gives access to all Coaching pages. You need a Gong professional seat to activate this permission. See Plans and seats.

  • Insights: Gives access to the Insights page. You need a Gong professional seat to activate this permission. See Plans and seats.

    Choose which pages people with this profile can access:

    • Team

    • Initiatives: Gives view access

      • Create, edit and delete boards: Gives the user full read/write permissions to the Initiative boards.

    • Market

  • Activity: Gives access to the Activity page. You need a Gong professional seat to activate this permission. See Plans and seats.

Forecast

Set what a team member with this profile can do in Gong Forecast.

You need a Forecast seat to activate Forecast permissions. Learn more about Gong Forecast.

Set the following capabilities for forecasts, and choose which forecasts this apply to:

Scope:

Applies to:

  • All: Gives access to everyone's forecasts / ability to edit everyone's targets.

  • Their manager’s team: Gives access to their own forecast / edit their own target, and forecasts/targets owned by their manager and everyone reporting up to their manager.

  • People who report to them: Gives access to their own forecast / edit their own target, and forecasts/targets owned by anyone reporting up to them. 

  • Their own: Gives access to their own forecast / edit their own target only.

  • Specific team members: Create a custom list of people whose forecasts can be accessed or edited by team members with this profile. Start typing names of individuals, and select the desired individual from the list. If you select a team leader, the team leader and the entire hierarchy tree under them are included.

Engage

Set what a team member with this profile can do in Gong Engage.

  • Manage company templates: Team members can create and edit company templates. These templates will be available to everyone in your organization.

  • Manage company flows: Team members can create and edit company flows. These flows will be available to everyone in your organization.

  • Create and manage their own templates: Team members can create, manage, and use their own personal templates. These templates are not available to be chosen by everyone in your organization.

  • Create and manage their own flows: Team members can create, manage, and add people to their own personal flows. These flows are not available to be chosen by everyone in your organization.

  • To enable reps to view other team members' to-dos: Depending on which types of to-dos you want reps to be able to view, select the relevant permissions under the following categories: Calls, Emails, Deals

CRM

Set whether a team member with this profile can import and edit fields from their CRM. (Available for Salesforce and HubSpot CRMs only)

  • Import CRM fields into Gong: Team members can import CRM fields into Gong. These fields will be available to everyone in the organization, just as they are if they are added by a tech admin.

  • Update CRM fields in Gong: Team members can update fields that have already been imported into Gong. Updated fields are synced back to the CRM.

Business settings

Select which business settings people with this profile can manage:

  • Manage general business settings: Gives the ability to set the various Gong analysis optimization functionalities, such as trackers, Whisper, and more (go here for the complete list).

    You need a Gong professional seat to activate this permission. See Plans and seats.

  • Scorecards: Gives the ability to create, edit, and manage scorecards. You need a Gong professional seat to activate this permission. See Plans and seats.

Data export

Select this option to enable people with this profile to export data, such as calls, who's listened to calls, team stats and coaching metrics to as CSV file. You need a Gong professional seat to activate this permission. See Plans and seats.
