FAQs for permission profiles

Article summary

Permission profiles in Gong do not control all actions, as some are set at the company level. Blocking access to emails or calls does not affect deal warnings. Different call permissions allow users to access calls based on their team or manager. Restricted call access still shows all calls in search results, but users receive an "access denied" message when trying to access restricted calls. Profiles can be assigned and deleted by tech admins. Setting permission profiles depends on the desired level of access for team members, including limiting call access, restricting Company Library folder access, and providing limited access to guests. Allowing team members to download call media may complicate data deletion compliance with regulations like GDPR and CCPA.

Do permission profiles control all actions in Gong?

No, some actions are set at the company level.

If I block access to emails or calls, does it affect deal warnings?

No. Access refers to what a person can see or do in Gong as per their profile. Features that leverage conversation data such as reporting, coaching metrics, and deal warnings, are not affected.

Which calls can a user with "Their Team" call permission access?

Any call that other team members, with the same manager, participated in, whether as a host, invitee or attendee. This includes the entire hierarchy tree under that team member's manager.

Which calls can a user with "Their Manager's Teams" call permission access?

Any call that their manager or any of the people reporting to them participated in, whether as a host, invitee or attendee. This includes the entire hierarchy tree under that manager.

Why can someone with restricted call access still see all calls on the Conversations page and in search results?

Search results include all calls that match the filter criteria. When a team member tries to access a restricted call, they receive an "access denied" message.

How do I assign a profile to a team member?

Tech admins can manually assign a profile to team members on the Team Members page or automatically assign on the Team Member Provisioning page.

How do I delete a profile?

  1. You can only delete unassigned profiles, so you must remove any users that are assigned to a profile before deleting.

    Tip

Filter the team members page by permission profile to see who is assigned the profile.

  2. In the permission profiles list, click More > Delete.

What permission profiles should I set?

If you're just getting started, consider using our out-of-the-box profiles.

Do you want to limit which calls a team member can access? If so, create a profile that provides access to a team member's calls and those of their team.

Do you want to restrict access to a specific Company Library folder? If so, don’t select that folder when enabling access to the Company Library.

Do you want to provide limited access to a guest? If so, restrict which pages they can access.

What would I prevent team members from downloading call media?

Some regulations, like GDPR and CCPA, require the deletion of all data related to a person, upon request. Enabling team members to download call media means that the downloaded calls won’t be removed using the “delete user data” feature, and this makes it harder for your Security Officer to keep track of where data is stored.
