Article summary

This content is aimed at tech and global Azure administrators regarding the integration of Gong with Office 365. It outlines the prerequisites for team members, including enabling settings for recording web conferences and importing emails. To restrict Gong’s access to Azure Active Directory, a mail-enabled security group must be created, allowing only designated users to have data capture enabled. Administrators must approve the connection between Gong and Azure AD, and set import settings for calendar meetings and emails. Importing requires a paid Gong seat, and various options are available for meeting imports, including those not set to be recorded. Team managers can monitor connection statuses and adjust settings as needed. To change connection methods or data imports, administrators must disconnect and reconnect, ensuring existing data remains intact in Gong.

Who's this for? Tech admin and Global Azure admin

The company-wide connection is set up with application level access. The email address used to connect to Office 365 is the primary email address. Gong can only connect to one mailbox per team member.

Pre-requisites

Ensure your team members are:

  • provisioned in Gong (either manually or automatically)

  • set to Record web conferences and Import emails in their data capture settings.

Restrict Gong’s access to Azure Active Directory

When setting up application-level access, you need to configure your system to restrict Gong’s access to your Azure Active Directory.

  1. Create a mail-enabled security group and add users who will have Gong data capture enabled.

  2. Execute a series of PowerShell commands to create a group-restricted access policy. When configured correctly, Gong can only read from the calendars and mailboxes of the users who are a part of the mail-enabled security group.

Give Gong access to Office 365

  1. In Company settings > Data capture > Office 365, in Provide access to, select whether to:

    • import calendar meetings and emails

    • import calendar meetings

Connection status indicating not connected to Office 365 with setup instructions provided.

  2. Click Connect or if you aren’t a Global Azure Admin, click Send link to a Office 365 admin.

  3. Approve the connection between Gong and your Azure AD Enterprise application.

  4. Set the import settings:

Settings for importing Office 365 data, including meetings and emails, are displayed here.

    Note:

Importing calendar meetings requires a paid Gong seat. Learn more.

    • Import all meetings, including meetings not set to be recorded:  All meetings, including face-to-face meetings, meetings scheduled by the contact, or meetings without a link are imported. Private calls aren’t imported. When first connecting, the last 12 months of meetings where a participant matches a CRM contact are imported.
Note that there are additional setup requirements for importing meetings not set to be recorded.

    • Import meetings set to be recorded: only meetings set to be recorded according to the company’s recording settings are imported.

  5. Select whether to Import emails.

  6. Select Allow team members to send emails via Gong if you have team members with an Engage seat who may want to send emails using the Gong emails composer.

Enable data capture

Set the data capture settings for your team. Emails and calls are only imported to Gong if team member’s individual data capture settings are set to allow this. For details, see Change settings for a team.

Note:

Team managers can check the status of their team’s connections in My Settings. If they have permission, they can turn on email import from this screen.

Change the connection settings

To change the connection method (company wide or user-by user), or which data is imported (calendar meetings and emails or calendar meetings only), you must disconnect and then reconnect with the new settings.

When you disconnect, all existing data is retained in Gong.
