Who's it for: Tech admins
The email address used to connect to Google Workspace is the primary email address. Gong can only connect to one mailbox per team member.
Pre-requisites
For a company-wide connection, ensure your team members are:
provisioned in Gong (either manually or automatically)
set to Record web conferences and Import emails in their data capture settings.
Give Gong access to Google Workspace
In Company settings > Data capture > Google Workspace, in Provide access to, select whether to:
import calendar meetings and emails
import calendar meetings
Click Connect or if you’re not a Google super admin, click Send link to a Google Workspace Admin to send instructions of how to install the Gong app in Google Workspace.
In the Google Workspace marketplace, click Domain Install to install the Gong.io app.
Note:
Changes to permissions when updating other Google Workspace configurations may cause the Google Workspace integration with Gong to become unstable.
Click Allow to grant Gong.io the right to access your domain data. This permission is static, and ensures that Gong can import emails and calendar events for your company. For more details on the elements Gong can access, click i in the grant screen.
Optional: In the Turn ON for area, select the organizational unit (OU) you want to turn the Gong app on for. Gong will only be able to access data for people in that unit. Note that if you need to set up recording for a group of people, we recommend that you use OUs and not groups.
Click Accept. When the set up is complete and Gong has access permissions, the set up screen closes, and a success message is displayed in the Google Workspace integration page. This can take up to 24 hours to fully complete.
Define connection import settings
Note:
These settings require a paid Gong seat. Learn more.
In Gong, go to Company settings > Data capture > Google Workspace. In Import settings, select the data you want to import.
Import all meetings, including meetings not set to be recorded: All meetings, including face-to-face meetings, meetings scheduled by the contact, or meetings without a link are imported. Private calls aren’t imported. When first connecting, the last 12 months of meetings where a participant matches a CRM contact are imported. Note that there are additional setup requirements for importing meetings not set to be recorded.
Import meetings set to be recorded: Only meetings set to be recorded according to the company’s recording settings are imported.
Select whether to Import emails.
Select Allow team members to send emails via Gong if you have team members with an Engage seat who may want to send emails using the Gong emails composer.
Enable data capture
Set the data capture settings for your team. Emails and calls are only imported to Gong if team members' individual data capture settings are set to allow this. For details, see Change settings for a team.
Note:
Team managers can check the status of their team’s connections in My Settings. If they have permission, they can turn on email import from this screen.
Change the connection settings
To change the connection method (company wide or user-by user), or which data is imported (calendar meetings and emails or calendar meetings only), you must disconnect and then reconnect with the new settings.
When you disconnect, all existing data is retained in Gong.
