Article summary

Tech admins can give Gong access to Google Workspace by setting up user connections in Company settings. Import settings allow for importing all meetings or only recorded meetings. Data capture settings can be adjusted for team members to import emails and calls. Team managers can monitor connections and enable email imports. Individual team members need to connect their Google Workspace accounts to Gong for importing calendar meetings and web conferences. Engage users must also connect their emails to send emails via Gong. To change connection settings or imported data, users must disconnect and reconnect with new settings, retaining existing data in Gong.

Give Gong access to Google Workspace

  1. In Company settings > Data capture > Google Workspace page, click Set up user-by-user connection.

  2. Give Gong permission to access Google Workspace. When the set up is complete, the set up screen closes, and a success message is displayed.

Define connection import settings

Note:

These settings require a Gong seat. Learn more

  1. In Gong, go to Company settings > Data capture > Google Workspace. In the Import settings, select the data you want to import:

Settings for importing data from Google Workspace, including calendar meetings and emails.

    • Import all meetings, including meetings not set to be recorded: All meetings, including face-to-face meetings, meetings scheduled by the contact, or meetings without a link are imported. Private calls aren’t imported. When first connecting, the last 12 months of meetings where a participant matches a CRM contact are imported.

Note that there are additional setup requirements for importing meetings not set to be recorded.

    • Import meetings set to be recorded: only meetings set to be recorded according to the company’s recording settings are imported.

  2. Select whether to Import emails.

  3. Select Allow team members to send emails via Gong if you have team members with an Engage seat who may want to send emails using the Gong emails composer.

Enable data capture

Set the data capture settings for your team. Emails and calls are only imported to Gong if team members' individual data capture settings are set to allow this. For details, see Change settings for a team.

Note:

Team managers can check the status of their team’s connections in My Settings. If they have permission, they can turn on email import from this screen.

How individual team members connect

Once you have set this up, each team member will receive an email explaining how to connect to Google Workspace. Check which team members haven’t connected Gong to their mailbox in the team members page. If necessary, resend the connection email via the Team members page.

For importing calendar meetings and web conferences, each team member must:

  1. Go to My settings.

  2. In Web conference recording, click Connect.

  3. If you have set automatic consent for connecting to Gong, the user will be connected to Gong. Otherwise, they will be prompted to request permission from an admin.

Engage users

If your team members have an Engage seat, they will also need to connect their Emails in the My settings page so that they can send emails via their Google account in Gong. In addition to the user-by-user connection, there may be an additional permission that has to be given to allow this.

For sending emails via Gong:

  1. Go to My settings.

  2. In Emails, click Connect.

Change the connection settings

To change the connection method (company wide or user-by user), or which data is imported (calendar meetings and emails or calendar meetings only), you must disconnect and then reconnect with the new settings.

When you disconnect, all existing data is retained in Gong.
