Email addresses are used to identify a user so that Gong knows for example, what permissions they have to access different data, and whether to record their calls. The primary email address is used to log into Gong if no other SSO or authentication method is defined. In addition, you can enter an additional email address also used to identify the team member.

Primary email address

A primary email address generally shares the same domain as your company and is used to log into Gong. For example [email protected] is employed by company Acme with the same domain: www.acme.com.

When a user participates in a call using their primary email address, it helps Gong to:

  • Identify the user

  • Identify the user’s company

  • Determine if a meeting is internal or external

  • Determine whether to record a meeting

Additional email address

In some cases, a team member may have more than one email address, or they may have set up an alias for their primary email. You can list any additional email addresses in the Additional email addresses field. When a user's profile contains additional email addresses, Gong maps those addresses to the user's primary email address. When the team member joins a meeting with one of their additional email addresses, Gong can identify the team member and  determine if the meeting is external or internal.

Note:

Gong only imports emails, calendar meetings, and calls from one mailbox. This is the mailbox of the email address used to connect to the email provider. Emails sent to other mailboxes will not be imported to Gong. The additional email addresses are only used to identify the team member.

Importing emails

Gong can only import emails from one mailbox. To set this up, you can connect Gong with your email provider in one of the following ways:

  • Company wide: connection is set up once by the tech admin and no additional approval is needed

  • User-by-user: connection is set up by the tech admin but each team member has to connect to their mailbox individually

To send emails via Gong using the Gong email composer each user must set up the relevant connection in their company settings. This is regardless of whether emails are imported company wide or user-by-user.

Company wide

In a company wide connection, emails are imported from the primary email account defined by the company.

User-by-user

Team members can connect to their email provider with any of the emails listed in their Email address or Additional email addresses fields. If you connect Gong to the email provider with an email that is different to your company email address, your business emails may not be imported to Gong correctly.  

When to use additional or alias email addresses:

  • A team member has multiple email addresses belonging to the same company, corporation or entity

  • A team member has multiple email addresses that need to be associated to the user's primary email address

Important

Never ever use a personal email address as an additional email. A user's profile should only ever contain company email addresses.
