Who can do this? Tech admin
The user-by-user connection is set up with delegated level access. As each user connects individually, they can connect with whichever email they choose, however, the email address must be listed in either the Email address or the Additional email addresses in their Team member settings.
Pre-requisites
To enable user-by-user connection, your Microsoft global company settings must be configured in one of the following ways:
Grant automatic permission for the user to connect
Require the user to request permission from the Microsoft admin
The relevant settings in Microsoft are:
In Consent and permissions > User consent settings. You can allow or prevent users from requesting access to all applications.
In Consent and permissions > Admin consent settings. Allow users to request admin consent to apps they are unable to consent to.
If users are unable to request permission to consent to apps, you’ll be able to grant the app by logging into Gong as an admin and connecting to Microsoft.
Give Gong access to Office 365
In Company settings > Data capture > Office 365 settings page, click Set up user-by-user connection.
Note:
If you are already connected, go to Define connection import settings.
In the Microsoft permissions dialog, check Consent on behalf of your organization so that users will be able to individually connect to Gong.
Click Accept. This installs the app enabling user-by-user connection.

Importing calendar meetings requires a paid Gong seat. Learn more.
Import all meetings, including meetings not set to be recorded: All meetings, including face-to-face meetings, meetings scheduled by the contact, or meetings with a missing URL are imported. Private calls aren’t imported. When first connecting, that last 12 months of meetings where we can match the participants to a CRM account are imported.
Note that there are additional setup requirements for importing meetings not set to be recorded.Import meetings set to be recorded: only meetings set to be recorded according to the company’s recording settings are imported.
Select whether to Import emails.
Select Allow team members to send emails via Gong if you have team members with an Engage seat who may want to send emails using the Gong emails composer. g.
Enable data capture
Set the data capture settings for your team. Emails and calls are only imported to Gong if team member’s individual data capture settings are set to allow this. For details, see Change settings for a team.
Note:
Team managers can check the status of their team’s connections in My Settings. If they have permission, they can turn on email import from this screen.
How individual team members connect
Once you have set this up, each team member will receive an email explaining how to connect to Microsoft 365. Check which team members haven’t connected Gong to their mailbox in the Team members page. If necessary, resend the connection email via the Team members page.
For importing calendar meetings and web conferences, each team member must:
Go to My settings.
In Web conference recording, click Connect.
If you have set automatic consent for connecting to Gong, the user will be connected to Gong. Otherwise, they will be prompted to request permission from an admin.
Engage users
If your team members have an Engage seat, they will also need to connect their Emails in the My settings page so that they can send emails via their Microsoft account in Gong. In addition to the user-by-user connection, there may be an additional permission that has to be given to allow this.
For sending emails via Gong:
Go to My settings.
In Emails, click Connect.
If the user was unable to connect, a consent request may have been created in your Enterprise applications | Admin consent requests page. Once you have consented for one team member to connect, other team members will be able to connect without an additional step.
Change the connection settings
To change the connection method (company wide or user-by user), or which data is imported (calendar meetings and emails or calendar meetings only), you must disconnect and then reconnect with the new settings.
When you disconnect, all existing data is retained in Gong.
