Search in Gong gives you two ways to find calls: a filtered search in the Conversations area for narrowing down by participant, account, topic, and hundreds of other criteria, and a global search in the top navigation bar for quick lookups across accounts, people, and calls. What appears in either surface depends on which calls your access settings include.

How your access settings shape results

Your permission profile determines which calls Gong includes in your search results. Depending on how your admin has configured it, you may have access to all calls in your company, calls you participated in, calls from your reporting hierarchy, or calls from specific teams. Two team members running the same search may see different results based on their profiles.

If your company uses multiple workspaces, search only returns calls from the workspace you are currently in. Calls recorded in other workspaces are not visible even if your permission profile would otherwise allow them.

When a call is set to private, its title and basic metadata may still appear in your search results, but you cannot open it or see its content unless you are the call owner, a participant, or someone the owner has explicitly shared it with. Private calls still count toward call statistics and analytics.

From Conversations > Search, you can filter calls by participant, account, topic, date, and hundreds of other attributes, then act on the results without leaving the page.

  • Filter calls: Apply one or more filters to narrow results to a specific set of calls. Learn more about filtering and searching for calls.

  • Save a search: Save your current filter set to reuse it later without re-applying filters each time. Learn more about saving and reusing searches.

Gong has two search surfaces, and they serve different purposes.

  • Conversations search (From the left sidebar, click Conversations, and select Search): The full filtered search experience. Apply up to 100+ filters, sort results, and take action on calls directly from the results list.

  • Global search (top navigation bar): A fast entry point for looking up accounts, people, calls, transcript phrases, and comment hashtags. Global search shows up to three results per category. Selecting a call from global search opens the call page; selecting a category link shows more results and hands off to Conversations search for filtering. Learn more about global search.

Frequently asked questions

I know a call was recorded. Why can't I find it in search?

Several things can prevent a call from appearing in your results: your permission profile may not include that call's scope, the call may be in a different workspace, or the call may be set to private and you are not a participant or the recipient of a share. If you believe your access settings are correct, learn more about troubleshooting search results.

Why do scorecard filters show fewer results than expected?

Scorecard filters respect scorecard visibility and your permissions. Calls with restricted or private scorecards may not show the scorecard, or may appear without a score, if you don't have permission to view it. To see restricted answered scorecards in search, you need access to the call and must satisfy the scorecard's visibility rules, or have the View all answered scorecards permission.

If a call is visible on the call page with a scorecard but is missing entirely from a scorecard-filtered search, that is not expected behavior. Contact your admin or Gong Support.

Does search include calls from all workspaces?

No. Search returns calls from the workspace you are currently in. To search calls in another workspace, switch to that workspace first.
