Available on: Any Gong plan

Connect Gong to your company's Zoom account so that Zoom records your team's calls and Gong brings them in afterwards. You need a Zoom admin to make the connection, a few settings in place on the Zoom side, and a test that Gong runs before recording starts.

Before you begin

  • You need to be a Zoom admin with the required Zoom role permissions. Learn more about Zoom settings required for native recording.

  • Your company needs a Zoom Pro, Business, or Enterprise plan. The Basic (free) plan is not supported.

  • Every team member you want recorded natively needs a paid Zoom seat. A team member on a free Zoom seat is recorded by the Gong recorder instead.

  • The required Zoom account settings need to be in place first, including Cloud recording switched on and unlocked for any Zoom group that contains team members you want recorded. Learn more about Zoom settings required for native recording.

Good to know

  • You can connect your whole company at once, or specific team members who each request their own connection and wait for your approval.

  • The Gong app for Zoom can only be installed when the connection is company-wide. Learn more about Use the Gong app for Zoom.

  • You can connect Gong to Zoom only once per Zoom admin. If your company has more than one Gong instance, connect each one with a different Zoom admin. Learn more about Connect additional Gong instances to a Zoom account.

  • The connection disconnects if the person who set it up stops being a Zoom admin.

  • The Gong apps you need are installed automatically during setup, so there is nothing to install from the Gong Collective or the Zoom marketplace separately.

Step 1: Turn on recording for Zoom

Recording for Zoom needs to be on in Gong before you connect your Zoom account.

To turn on recording for Zoom:

  1. From the left sidebar, click Admin center.

  2. In the Settings tab, click Web conferencing under Data capture.

  3. In the Zoom row, click the Recording toggle.

If your Zoom settings are configured correctly, you will now be able to record calls via the Gong recorder.

Step 2: Connect Gong to your Zoom account

Connecting gives Gong permission to start recordings in your Zoom account and retrieve them afterwards. Choose whether to connect your whole company or specific team members, then follow the steps for that option.

To connect your whole company:

  1. In the Zoom row, click SETTINGS.

  2. Click Connect account, sign in to Zoom as a Zoom admin, and approve the permissions Gong requests.

Gong installs its integration app in your Zoom account and connects your Gong instance to Zoom. The Native Recording section then shows as Enabled, along with the validation settings.

To connect specific team members:

  1. In the Zoom row, click SETTINGS.

  2. Click Set up user-by-user connection.

  3. In Zoom, set up the list of team members approved to have their Zoom conversations brought into Gong.

  4. Select Pre-approve now to approve team members automatically as they connect. If you leave it clear, you approve each request separately.

  5. Check that Native recording is switched on. It is on by default.

  6. Click Activate connection.

Each approved team member then requests their own connection to Zoom. The Zoom settings page shows how many people have connected successfully, how many are connected but need a settings change, how many could not connect, and how many have not tried yet.

Step 3: Test the connection

Gong checks the settings for team members and meetings in both Gong and Zoom to confirm that Zoom recording can be turned on successfully. The test takes a few minutes to run, and it only runs on a company-wide connection. If you connected Zoom user by user, there is no setup test.

To test the connection:

  1. Click TEST ZOOM SET UP.

  2. When the test finishes, click View test results and read the result for each check:

    • Green means the check passed.

    • Yellow means some team members will still be recorded by the Gong recorder.

    • Red means there is a problem to fix. Click How to fix, make the change, and run the test again.

Step 4: Choose your Zoom recording settings

Two of these settings control what happens to recordings in your Zoom account, and one controls whether your team can see a live transcript during a Zoom call.

To choose your Zoom recording settings:

  1. Click Edit settings.

  2. Turn on Delete recordings from Zoom once they are retrieved by Gong and Delete recordings initiated by Gong but not retrieved. Both are recommended, and both help you reduce the storage used in your Zoom account and uphold your data retention policy. Learn more about managing Zoom recording storage and deletion.

  3. Turn on Enable live-streaming from Zoom to the Gong app if you want your team to see the live transcript in the Gong app for Zoom. Learn more about taking notes and viewing the transcript during a Zoom call.

Note:

On a user-by-user connection, the two deletion settings appear as checkboxes on the connection screen rather than under Edit settings.

Step 5: Turn on native Zoom recording

Turning this on is what moves recording from Gong to Zoom. From this point, Zoom records your team's calls and Gong retrieves them.

To turn on native Zoom recording:

  1. Click ENABLE ZOOM RECORDING.

  2. Let your recorded team members know that their Zoom calls are now recorded in Zoom. Gong gives you an email for this, which you can send to all of them from the Zoom settings page, or preview first if you want to personalize it and send it yourself.

Note:

On calls where native Zoom recording cannot be used, the Gong recorder joins instead. Turn on the Gong audio prompt in your consent profile so those calls still capture recording consent. Learn more about enabling the audio prompt.

Disconnect Gong from Zoom

Turn off native Zoom recording before you disconnect, and if you use Zoom for your recording consent page, change that too. Otherwise those settings are left pointing at a provider you are no longer connected to.

To disconnect Gong from Zoom:

  1. From the left sidebar, click Admin center.

  2. In the Settings tab, click Recording consent under Data capture.

  3. Edit the consent profile, either by changing the web conferencing provider or by changing the Link type to Personal meeting room.

  4. In the Settings tab, click Web conferencing under Data capture.

  5. In the Zoom row, click SETTINGS.

  6. In Advanced connection, click Disconnect.

Frequently asked questions

We changed our Zoom plan. Do we need to do anything?

Yes. Turn off native Zoom recording, then reconnect using the steps in this article. When you reconnect, select your new Zoom plan and test the connection again.

Can we set this up without recording our team natively yet?

Not in a way Gong supports. If you leave Cloud recording locked for a group, those team members do keep being recorded by the Gong recorder, but holding a rollout back by locking Zoom settings is not officially supported.

What is supported is turning native Zoom recording on while some of your team members are not set up for it yet. Gong keeps recording them with the Gong recorder until their Zoom settings are fixed, and the daily setup email tells your technical admins who they are. What happens if the person who connected Gong stops being a Zoom admin?

The connection disconnects. Reconnect using the steps in this article, signing in as a current Zoom admin with the required Zoom role permissions.

What should we tell the team after we switch?

Tell your team to schedule meetings with the Zoom calendar add-on rather than the Gong add-on, so that meetings carry a Zoom link Gong can record.

If you use the Gong consent page, leave it on for a transition period. Meetings that were already scheduled with a Gong consent page link are recorded by the Gong recorder, so turning the consent page off too early would leave those meetings unrecorded.

Someone else schedules calls for our reps. How do the reps keep control of the recording?

The rep needs to be the Zoom host of the meeting so that they can start, stop, and pause the recording. Zoom offers several ways to arrange this:

  • Set the rep as the alternative host on the meeting.

  • Give the scheduler scheduling privilege for the rep.

  • Have the scheduler use the rep's host key.

  • Have the scheduler use the rep's personal meeting room link when setting up the meeting.
