Zoom settings for native Zoom recording

Prev Next

Who can use this: Tech admin

Available on: Any Gong plan

Put these settings and permissions in place in Zoom before you connect Gong, so that the setup test passes and Zoom can record your team's calls. Everything on this page is set in Zoom, not in Gong.

Learn more about setting up native Zoom recording.

Where to set these in Zoom

You can apply these settings to your whole Zoom account, or to specific Zoom groups that contain the team members you want recorded.

  • Account level: go to Account Settings and open the Recording tab.

  • Group level: go to Admin and then Group Management, click your group's name, and open the Recording tab.

Note:

Use a Zoom group when the settings Gong needs would not suit the people in your company who do not use Gong. For example, if your company does not allow Zoom cloud recording, create a group for the people who are not recorded by Gong and lock cloud recording as disabled for that group.

Required Zoom settings

Native Zoom recording does not work without these. Apply them to your account, or to every Zoom group that contains team members you want recorded.

  • Cloud recording switched on and unlocked. Gong cannot retrieve recordings without it.

  • Automatic recording unlocked. It can be on or off, but it has to be unlocked.

  • Embed passcode in invite link for one-click join enabled. Without it, the consent page cannot be shown before a meeting.

  • Audio transcript available in your Advanced cloud recording settings. Gong uses the speaker timeline from Zoom's audio transcript during native recording, and the setup test checks for this setting. If you cannot see it, contact Zoom and ask them to enable it for your company. It is not always included in Business and Enterprise packages.

Note:

Unlocking is not the same as turning on. You do not have to record everything in Zoom. Unlocking these two settings is what lets Gong switch them on for the right team members, and only for the calls your recording rules say should come into Gong.

Extra settings for Zoom Pro

On a Zoom Pro account, check the following in the Cloud recording settings section so that Gong receives a usable recording layout.

  • Record active speaker with shared screen.

  • Record active speaker, gallery view and shared screen separately, with Active speaker selected underneath it.

[REVIEW: Active-speaker layout settings are described as required in one place and optional in another. Alaa Elias has been asked on Jira but has not yet answered. Reviewer to confirm with Product before publishing.]

Zoom role permissions for the connecting admin

The Zoom admin who connects Gong needs these role permissions in Zoom. Without them the connection fails.

  • Users: View and Edit.

  • User advanced settings: View and Edit.

  • Recording management: View and Edit.

  • View the recording content: View.

  • Zoom rooms: View.

Zoom scopes Gong requests

When the Zoom admin approves the connection, Zoom asks them to grant these scopes. Each one maps to something Gong does with your Zoom account.

Optional Zoom settings

These are worth considering, but native Zoom recording works without them.

Let your team take notes on calls

The Gong app for Zoom lets your team take notes during a call. The notes are timestamped and come into Gong as comments on the call. You approve the app for your Zoom account, which needs a Zoom account admin with Marketplace role access, and then each team member adds it to their own Zoom. Learn more about using the Gong app for Zoom.

When someone in your company stops using Gong, Gong removes the Zoom tokens associated with them so they can no longer use the Gong app for Zoom. This does not affect your Zoom account or that person's historical data in Gong.

Record participants during screen share

By default a screen share can fill the recording. Change the cloud recording layout so that the speaker or the gallery is recorded alongside the shared screen.

To record participants during a screen share:

  1. In Zoom, go to your user, click Recording, and open the Cloud recording settings.

  2. Select Record active speaker with shared screen or Record gallery view with shared screen.

  3. Click Save.

Turn off Zoom's recording emails

Zoom can email a team member when a meeting recording is ready. We recommend turning this off, because Gong has its own notification for when a recording becomes available in Gong.

To turn off Zoom's recording emails:

  1. In Zoom, go to your user, click Meeting, and open the Email notification settings.

  2. Turn off When a cloud recording is available.

Control what happens to the Zoom chat

Gong adds public Zoom chat messages sent while recording is on to the call in Gong. To prevent this, turn off Zoom's Save chat setting. You can turn it off for your account, for specific groups, or individually.

If you turn off Save chat for your account or for a group, lock the setting as well. Gong tries to turn it on when it records a call, so that the chat is not lost, and locking the setting prevents that.

Frequently asked questions

Why does Gong need cloud recording unlocked if we only want Gong calls recorded?

Cloud recording has to be unlocked, because Gong cannot retrieve a recording that Zoom never made. Unlocking is what lets Gong switch automatic recording on for the right team members at the right time, so you do not need to turn automatic recording on yourself. Leaving these settings unlocked does not mean everything gets recorded, because your recording rules in Gong still decide which calls come in. If you want to keep cloud recording locked for the people who are not recorded by Gong, put them in a separate Zoom group.

Should Automatic recording be on or off?

Either works, as long as it is unlocked. The difference is what happens in Zoom, not what reaches Gong:

  • On means all your Zoom calls are recorded automatically, but only the calls your recording rules select are brought into Gong.

  • Off means calls are not recorded automatically, and Gong turns the setting on per meeting for the calls your recording rules select.

Does Zoom always tell participants that the call is recorded?

Yes, and you cannot turn that notification off. Participants on the desktop client or the mobile app see a recording consent disclaimer. Participants who dial in by phone hear an audio prompt, either when they join a call that is already being recorded or at the point recording starts.

How should our team schedule Zoom meetings?

If your consent page works with Zoom, your team should schedule calls with the Zoom calendar add-on so that recording consent is captured.

On Google Chrome, avoid the Zoom Chrome extension, also called Zoom Schedule. It can remove recording from some meetings, because it relies on a setting Zoom's API no longer supports. Install the Zoom for Google Workspace add-on instead. If the extension cannot be avoided, open Zoom Schedule Options and set Meeting ID to Generate automatically, which creates a unique link per meeting.
