Control what happens to your Zoom recordings once Gong has them, using two settings on the Zoom settings page. Both reduce the storage your recordings use in Zoom, and the first one also matters for your data retention obligations.

These settings apply only when you are set up for native Zoom recording, because they act on recordings made in your own Zoom cloud.

Turn on the deletion settings

Both settings are recommended, and both live in the same place.

To turn on the deletion settings:

  1. From the left sidebar, click Admin center.

  2. In the Settings tab, click Web conferencing under Data capture.

  3. In the Zoom row, click SETTINGS.

  4. Click Edit settings, and turn on Delete recordings from Zoom once they are retrieved by Gong and Delete recordings initiated by Gong but not retrieved.

Warning:

These settings remove recordings from your Zoom account. Before you turn them on, check that nobody in your company relies on the copy in Zoom, for example for a workflow that reads recordings straight out of Zoom.

Delete recordings from Zoom once they are retrieved by Gong

Once Gong has brought a call in, this setting removes the copy that is still sitting in your Zoom account. Turning it on has two benefits.

  • Your Gong recordings stop counting against your Zoom storage, which matters if your Zoom plan has limited cloud recording capacity.

  • You get more control over the recording, because a call that lives only in Gong is subject to Gong's data retention policy, access controls, and permissions.

Important:

Be mindful of personal rights under international privacy regulations. Under European law, for example, people can request that their personal data is deleted from your systems. Gong lets you delete personal data, but if this setting is off, a copy of the call stays in Zoom and deleting it in Gong is not enough. Learn more about deleting personal data.

Delete recordings initiated by Gong but not retrieved

Gong sometimes starts a Zoom recording and then does not bring the call in. This setting deletes those recordings from Zoom, and without it they stay in your Zoom account indefinitely. Typical cases are:

  • Someone stopped the recording at the beginning of the call.

  • Someone joined through the consent page but did not give consent to be recorded.

Note:

These recordings never appear in Gong, so if you are looking into a missing recording, you will not find a trace of them there. Check your Zoom account rather than Gong.

Keeping track of your Zoom storage

Native Zoom recording uses your Zoom cloud storage, because the recording is made in your Zoom account before Gong retrieves it. Zoom manages the limit, not Gong.

  • Zoom emails the account owner when usage reaches 80% of your subscribed storage limit.

  • If you hit the limit during a call, Zoom keeps recording until the meeting ends.

  • Check your current usage on the Zoom Dashboard.

Frequently asked questions

Can we get a recording back after Gong deletes it from Zoom?

The call itself stays in Gong, so nothing is lost as long as Gong retrieved it. What is removed is the copy in your Zoom account.

Gong moves that copy to your Zoom account's trash rather than destroying it outright, so it may be recoverable in Zoom for a period.

How soon after a call is the recording removed from Zoom?

Not immediately. Gong waits two hours after retrieving the call before it removes the copy in Zoom.

Are these settings on by default?

No. Both deletion settings are off by default, so nothing is removed from your Zoom account until you turn them on.

What happens if a recording is deleted from Zoom before Gong retrieves it?

Gong cannot retrieve it, and there is no way to try again. If the host still has their own copy of the recording, they can upload it to Gong manually. Learn more about uploading a call to Gong.
