Set up the Zoom integration

You can set up the integration with Zoom in the following ways: 

  • Record with native Zoom recording.

  • Record with the Gong bot.

In addition, with both types of recording, you can choose whether to record company-wide, that is to connect all your employees automatically, or user-by-user by defining specific users in your organization who can use the integration. Each user then has to request to connect Gong to Zoom.

You need to be a Zoom admin with the necessary Zoom role permissions to set up the connection.

Note

  1. The integration will disconnect if the person who sets up the integration stops being a Zoom admin later.

  2. You can only set up the Gong Zoom integration once per connecting user. If you have 2 Gong instances, you can Connect additional Gong instances to a Zoom account.

Prerequisites for setting up the Native Zoom Integration

For Zoom Business, Zoom Enterprise or Zoom Pro, on the account or relevant group level, make sure:

  • Cloud Recording is toggled to ON, and unlocked

  • Automatic Recording can be toggled to ON or OFF, but it must be unlocked

Note

With Zoom Pro, Gong cannot identify speakers with non-Latin characters in their name.

Setting up the integration

Set up the integration to record calls with the Gong bot or with the native Zoom integration where calls are recorded in Zoom and then imported to Gong.

Note

The apps available through the Gong Collective and the Zoom marketplace are installed automatically during this setup process and there is no need to install them separately.

Connect Gong to Zoom:

  1. In Gong, click Company Settings > Data capture > Web Conferencing.

  2. In the Zoom row, click the Recording toggle to enable recording Zoom conversations with the Gong bot.

  3. Click SETTINGS on the Zoom row.

  4. If you want to connect everyone in your organization to Zoom, click Connect account.

    1. Sign in to your Zoom account, and authorize access to Zoom. This installs a Gong integration app instance in your Zoom account and connects your Gong instance to Zoom.

    2. In the Set up & validate Zoom connection step:

      1. Select your Zoom plan.

      2. Click TEST ZOOM SET UP.

        Gong checks the settings for users and meetings in both Gong and Zoom to make sure Zoom recording can be enabled successfully. The test can take a few minutes to run.

    3. When the test is complete, check the test results:

      • Green indicates the test passed.

      • Yellow indicates that some team members may still continue to be recorded with the Gong bot.

      • Red indicates there was a problem. Click How to fix to find out how to resolve the issue and run the test again.

        Note

        If you have a Zoom Business or Enterprise account, but the test suggests that you do not, check the following:

        In your Zoom account settings, make sure Cloud Recording is turned on and check whether the Audio Transcript setting appears. If you can't see it, contact Zoom and ask them to enable it for your organization. Zoom's audio transcripts speaker timeline is used by Gong in native Zoom recording.

    4. Click ENABLE ZOOM RECORDING to use Zoom to record calls in Zoom.

      Whenever native recording cannot be used, (such as if the user doesn’t have a Zoom license), the Gong bot joins the call. (We recommended that you leave on Gong audio prompt for such cases).

    5. Click Edit settings and toggle Delete recordings from Zoom once they are retrieved by Gong and Delete recordings initiated by Gong but not retrieved to ON (recommended). These settings can help reduce your Zoom storage and uphold data retention policies. See Delete recordings in Zoom to learn more.

    6. Toggle Enable live-streaming from Zoom to the Gong app in order to enable the live-stream transcript while using the Gong for Zoom app.

    7. Send an email to all recorded users that their Gong calls can now be recorded in Zoom.

  5. If you want to limit the people in your organization who can connect to Zoom, click Set up user-by-user connection.

    1. In Zoom, set up the list of people approved to have their Zoom conversations imported to Gong.

    2. Select Pre-approve now, if you want to automatically approve team members connecting to Zoom. Otherwise you’ll have to approve each request separately.

    3. By default, Native recording is switched on.

    4. Check Delete recordings from Zoom once they are retrieved by Gong and Delete recordings initiated by Gong but not retrieved (recommended). These settings can help reduce your Zoom storage and uphold data retention policies. See Delete recordings in Zoom to learn more.

    5. Choose whether to email your team members about the integration.

    6. Click Activate connection.

    7. Once you have activated the connection, you’ll see:

      • The number of people successfully connected

      • The number of people who are connected but who’s settings need to be changed

      • The number of people who were unable to connect

      • The number of people who haven’t yet tried to connect

  6. Once connected, you can use the Gong consent page with dynamic links when recording calls.

Disconnect from Zoom

If you have set up Native Zoom and are using Zoom for the consent page, you must disable these before you disconnect from Zoom.

To disconnect from Zoom:

  1. If you use the Zoom consent page: click Company settings > Data capture > Recording consent.

    1. Edit the consent profile either by changing the web conferencing provider or change the Link type to Personal meeting room. For more details, see About recording consent.

  2. In the Data capture area click Web conferencing to see the list of web conferencing apps.

  3. Click Settings for Zoom to see the Zoom configuration page.

  4. If you set up native zoom, disable it.

  5. In the Advanced connection, click Disconnect
