Set up automated AI briefs

Gong's AI Briefer can automatically generate and deliver account and opportunity insights when predefined CRM conditions are met. When a trigger occurs, a dedicated email containing the full brief is sent to the selected recipients.

Automated AI briefs help sales and revenue teams stay aligned during key business events such as ownership transitions, deal stage changes, and account updates. By automatically distributing relevant context when it is needed, teams can reduce information gaps, improve handoffs, and support better decision-making.

Note:

Briefs are sent immediately as soon as conditions are met (after a short processing delay).

Automated AI briefs use a When / If / Then structure. During setup, you'll define the trigger, any conditions, and the brief that should be delivered.

Example use cases

Automated AI briefs give teams a scalable way to distribute insights automatically.

Common use cases include:

  • Account handoff briefs when ownership changes in the CRM (e.g SDR -> AE, or AE -> CS)

  • Pre-renewal summaries sent a defined number of days before renewal

  • Close-won or close-lost analysis briefs sent to leadership for significant opportunities.

Set up an automation rule for briefs

Follow these steps to create an automation that delivers briefs based on your workflows.

Step 1: Add a new automation

Create the automation and give it a name that clearly identifies its purpose. This makes it easier to find and manage later, especially if you have multiple automations.

To add a new automation:

  1. Go to Assets > Automations.

  2. Click + Add automation.

Step 2: Setup when the automation is triggered

Use When to define what event based on CRM activity should trigger the automation.

For example, to trigger the rule when an account owner changes, choose Account as the entity and Owner ID as the field. To trigger it when an opportunity stage changes, choose Opportunity as the entity and Stage as the field.

The specific value (such as Closed won) is set later in the If conditions, not in the When trigger.

To set the trigger:

  1. Click Add trigger.

  2. Choose the CRM entity:

    1. Account

    2. Opportunity

      Note:

      To use the Send brief action, you must select either Account or Opportunity as the trigger. The action is not available for Lead, Contact, or AI Tracker triggers.

  3. Select the event type:

    1. is created

    2. is updated with

    3. is created or updated with

    4. current date is (Opportunity only)

      Note:

      For opportunities, you can trigger automations relative to a date field. For example, send a brief 30 days after a contract is signed:

      1. Specify the number of days before, after or day of the selected date.

  4. (Updated, or created/updated with only) Add With fields by searching in the field selector.

(Optional) Step 3: Define conditions

Use If to define the conditions that must be met for the brief to be sent. Conditions can use any imported CRM field associated with the selected trigger entity. For example, if the trigger is Account, the available fields include imported CRM fields associated with accounts.

Note:

If no If conditions are defined, the automation rule will trigger for every Account or Opportunity that meets the selected When trigger.

To define conditions:

  1. Click +Add filter. You can use any CRM field supported by Gong’s automation framework, with operators based on field type (stage, number, date). Use either:

    • Single condition

    • Condition group. Combine multiple conditions using and/or logic.

    You can also define and or or logic between condition groups.

  2. Select the field you want to evaluate.

  3. Select the operator.

  4. Enter or select the value.

  5. Add additional conditions or condition groups if required.

Example conditions:

  • Stage = Closed Won

  • Amount > $200,000

  • Opportunity Type = Renewal

  • Account Tier = Enterprise

Note:

The conditions can include all of the fields that are being imported from your CRM into Gong for that object. If you don't see the field you need, you can import the Salesforce field, import the HubSpot field, or import the Dynamics field.

Tip

To avoid Empty recipient errors:

CRM updates often happen in stages. If you want to notify a specific role (such as a Customer Success Manager) when a deal closes, trigger the rule after the role is assigned. Triggering on the deal stage alone may fail if the recipient hasn’t been set yet.

For example:

Avoid: When Deal stage is Won (the role may not be assigned yet).

Recommended: When Customer Success Manager changes and If Deal stage is Won.

This ensures the brief is sent only when a valid recipient exists.

Step 4: Choose which AI brief to send

Use Then to define the brief that is generated and delivered when the trigger occurs and all conditions are met.

To choose which AI brief is sent:

  1. Click Add Action.

  2. Select Send brief.

  3. Select the brief to send (pre-built or custom).

  4. (Optional) Define the scope (Opportunity only):

    • Account: Includes all conversations and activities

    • Deal: Limit the brief to the triggering opportunity

    Tip:

    If you're using the Opportunity is created trigger, set the scope to Accounts. Newly created opportunities typically don't have any associated activities yet, which can result in an empty Brief. Using the Accounts scope ensures the Brief includes relevant account activity.

  5. (Optional) Override the default time period and select a different time:

    • Account: Last 90 days

    • Deal: All time

  6. Choose recipients either:

Note:

Recipients must have a Gong user account. If a CRM user does not have a Gong account, the email is skipped and logged in the Run history.

Step 5: Save and enable your Automation

Once you've configured the trigger, conditions, and brief settings, enable the automation so it can begin monitoring CRM activity.

To save and enable your automation:

  2. Click Save.

If you're not ready to activate the automation, you can save it without enabling it. After saving, you'll be redirected to the Automations page, where you can enable it later.

Note:

Alternative entry points:

  1. Set up an automation for a specific brief from the Brief types tab:

    • Go to Admin center > Agent Studio > AI Briefer > Settings.

    • Select a brief and click + Add under the Automations column

      Using this entry point, the Then: Brief type cannot be changed.

  1. Set up an automation for a specific brief from the individual brief settings.

Good to know

  • Multilingual: Briefs can be generated from calls in any supported language.

  • Private calls excluded: Private calls are automatically excluded from generated briefs.

  • Individual email delivery: Each triggered automation generates a separate email containing the full brief. Multiple triggered briefs are not grouped into a single email.

  • Brief dependencies: A brief that is being used by an active automation cannot be deleted. Disable or delete the automation before deleting the brief.

  • Run history: Once enabled, automation activity can be reviewed in Run history.

Credit usage

Automated AI briefs consume Gong credits when a brief is generated. Each generated brief counts as a single credit-consuming action, regardless of the number of recipients.

FAQ’s

Why can't I see the ‘Send brief’ action in the Then section?

The Send brief action is only available when the automation is triggered by an Opportunity or Account event.

The Send Brief action is not available for automations triggered by Lead, Contact, or AI Tracker.

Can I manually add the email address of a recipient?

No. For security reasons, users can only be selected from the list of Gong users.

Does a selected recipient need to have a paid seat?

No, but they need to be a user.

Can a brief be pushed to the CRM?

Not at this stage. Support for pushing briefs to the CRM is planned for a future release.

What happens if there isn't enough data to generate a full brief for an account or opportunity?

If only partial data is available, the brief will be generated with the sections that have relevant information. Sections without data won’t be included. If no relevant data was found for any section, the brief isn’t sent and the event will be logged to the Run history.
