Why connect to Microsoft Teams?

The integration with Microsoft Teams enables your organization to use the Gong consent page with unique links per meeting when scheduling meetings with Microsoft Teams.

How it works

Gong creates a unique link in Microsoft Teams for each scheduled meeting on behalf of the meeting organizer, and associates those links with the consent page links of each invite.

What you need to know

When setting up the Microsoft Teams integration:

  1. Read our guide to link types to understand when dynamic links are recommended, and when you should use static links instead.

  2. After you set up the consent page with dynamic links, people will be asked to re-authenticate to their Microsoft Teams account via the Gong calendar add-in.

    In some cases, your Microsoft Teams admin may need to approve Gong in your Microsoft Teams instance. Reach out to your CSM or Gong Support if you need any guidance.

  3. For a more seamless authentication experience, we recommend OpenID or other common identity providers (Google, Microsoft, Salesforce) over SAML SSO.

  4. Make sure Microsoft Teams links are not added to meetings automatically, and that for each meeting, the only link on the invite is the link to the Gong consent page.

    Microsoft Team links may be added automatically if:

    1. A recent update in Microsoft Outlook turned the Add online meeting to all meetings setting on by default.

    2. The Microsoft Teams plug-in is installed in the calendar, it automatically makes every meeting a Microsoft Teams meeting.

  5. Your Microsoft Teams configuration must be set to allow anonymous or unverified attendees to your meetings. For more details, see Manage anonymous participants.

Step 1: Company setup

Your company needs to define Microsoft Teams as the default web conferencing app, and enable the consent page for Microsoft Teams.

  1. Go to Company settings > Data capture > Web conferencing and make sure that the Recording toggle is set to ON for Microsoft Teams.

  2. Go to Company settings > Data capture > Recording consent and click the consent profile you want to edit.

  3. In the consent profile page, scroll down to the Consent page area, and click Show settings.

  4. Test setup to ensure the set up will be smooth for your team:

    1. Create a meeting using the calendar add-in.

    2. Join the meeting, checking that you can successfully join the meeting via the Gong consent page.

      In some instances, you may need to approve Gong in your Microsoft Teams instance on the company level.

Step 2: Individual setup

Each team member must ensure that their Gong profile is connected to Microsoft teams and set their dynamic link.

  1. Inform your reps to download the Gong for Outlook Calendar add-in, or the Gong for Google Workspace add-on.

  2. Each rep should sign in to Gong via the add-in, and give Gong permissions to create meetings on their behalf in their calendar.

  3. Refer your team to the information on how to schedule a Microsoft Teams call with recording consent.

    In short: for each meeting, each rep should use the Gong calendar add-in in order to generate a meeting link that's automatically connected to the Microsoft Teams meeting.
