Why connect to Google Meet?

The integration with Google Meet enables your organization to use the Gong consent page with unique links per meeting when scheduling meetings with Google Meet.

Before you begin - what you should know

Before connecting to the Google Meet integration, make sure you've already connected your calendar to Gong. Go here for more information.

To connect to Google Meet:

• You must have a dedicated (shadow) Google account that Gong can connect to. This account must be a real, dedicated account, and not a service account or a Gong user account.

• The dedicated Google account must have Google Calendar enabled

• The dedicated Google account must have Google Meet enabled.

Only Google admins can set up a dedicated Google account. If you are not a Google admin, ask you Google admin to set the account up for you.

In order to associate the Gong consent page link with a unique meeting URL in Google Meet, Gong creates a meeting with a unique meeting link (URL) on a dedicated "shadow" Google Calendar. This ensures the associated Google Meet URLs are safely hosted by the shadow account.

Get recording consent with Gong

To help your organization comply with data & privacy regulations, Gong hosts a consent page that enables attendees to give their consent to be recorded before they join a Google Meet video meeting. Learn how to enable the consent page here.

When users schedule a meeting, Gong creates a unique URL meeting link that is used in the invitation. When the meeting starts, attendees click the link in the invitation and are taken to the consent page. After giving their consent, attendees join the Google Meet video meeting.

Step 1: Enable the Google Meet connection

1. Go to Company settings > Data capture > Web Conferencing.

2. In the Google Meet row, click SETTINGS.

3. Do one of the following:

   • If you are a Google admin or already have a dedicated Google account set up for Gong, click CONNECT AS ADMIN.

     1. In Google, create a dedicated Google Workspace account to safely host Google meeting links.

        We recommend creating the following dedicated Google account with email and calendar access:

        gong.for.google.meet@company_domain

     2. Make a note of the email address used.

   • If not, click SEND INSTRUCTIONS to send your org Google Admin instructions on how to set up the dedicated account and enable the integration.

     1. Enter the email address for your organization's Google admin, and send the mail with the instructions on setting up a dedicated Google account.

     2. Once the Google admin has set up the dedicated Google account, ask them to share the email address used for the dedicated account.

4. In the Google Meet safety settings, the Google admin should turn off the Host management setting for the Google account being used to host Google meeting links. This enables users to allow the Gong recorder and other participants into a meeting.

5. In Google Meet, click Sign in and provide the credentials of the dedicated Google account.

   IMPORTANT: Make sure that you don't use your personal Google account - check you're logged out of your personal account in Google and any other access management tools such as Okta. You can use an incognito tab if necessary.

Step 2: Enable the Gong consent page for Google Meet

1. Follow the instructions outlined in the Enable the Gong Consent page article.

2. At step 6, set the desired Link type:

   • Dynamic link: A dynamic link to the consent page will be assigned for every meeting organized.

     Example: https://join.gong.io/[YOUR COMPANY NAME]/[firstname].[lastname]/[unique meeting ID]

     Note

     Dynamic links are only supported when the integration is set up (Step 1). To schedule a meeting, your team must use the Gong calendar add-in. Learn more:

     Gong for Google calendar: install domain-wide or per individual.

     Gong for Outlook: install domain-wide or per individual.

   • Personal meeting room (static) link: A static link to the consent page will be assigned for every meeting organized. The link is unique to each team member, which they can find in their Gong profile page.

     Example: https://join.gong.io/[YOUR COMPANY NAME]/[firstname].[lastname]

     Note

     If you choose this option, note that Google Meet does not support personal meeting rooms per se. As a workaround, it's possible for meeting organizers to set up a recurring meeting and use its' link as a personal meeting link, however we do not recommended this.

   • (Advanced) Let host decide: Lets the call host decide whether they want to use a dynamic or static link to the consent page. This option is useful if some meetings are scheduled by someone on behalf of someone else (e.g. SDR for AE).

     This option is only supported when the integration is set up (Step 1).

   The consent page link is automatically associated with the personal meeting link of each recorded member.

Step 3: Test your set up

After performing the 2 steps above, we recommend running a test:

1. Create a test meeting using the Gong calendar add-in.

2. Join the meeting and check if you see the Gong consent page.

Important: Google privacy policy

Google's privacy policy prevents Gong from automatically being added to Google Meet meetings.

The privacy policy gives a participant, who joins a Google Meet meeting before the host, the ability to reject the Gong bot in the waiting room. However, you can make sure Gong gets back into the room via the Schedule button on the Homepage.
