Use AI prompts to generate emails

Prev Next

Who can use this: Any team member

Available on: Gong Engage

Ideal for: Sales rep, Sales manager

Saved prompts are reusable AI instructions stored in your content template library. When you apply one, Gong generates a complete email (subject line and body) based on your instructions and available context about the contact, account, and deal. Use a prompt when you want AI to write the whole email rather than starting from a pre-written template.

Saved prompts sit alongside your regular templates in the content templates library and follow the same permission and folder structure. You can create, edit, duplicate, delete, and organize them the same way as regular templates. Team members without permission to create prompts can still use saved prompts.

Gong AI does not always get it right, so always review AI-generated content before sending.

Create a saved prompt

Required permissions:

Create and manage personal templates and blocks

A prompt's instructions determine what Gong generates. Write them to describe the email's goal, tone, length, and any specific information to include or avoid. Gong draws on call history, CRM data, and contact details to personalize the email when it generates, so you don't need to include that in the instructions.

To create a saved prompt:

  1. From the left sidebar, click Assets, and select Content templates.

  2. Click New and select New prompt.

  3. Enter a name for the prompt.

  4. Write your AI instructions in the prompt field.

  5. (Optional) Add field placeholders to reference the contact, account, or sender.

  6. Click Save.

Your prompt is now available when you send a one-off email or create a flow step.

Best practices for writing prompts

Prompt quality strongly affects the quality of generated emails. Keep these guidelines in mind when you write a prompt.

  • Be clear about the prompt's goal. Tell Gong exactly what the email should accomplish. For example: "Write a follow-up email after a discovery call."

  • Specify what the email should include and describe the structure you want. For example: a short subject line, a personalized opening, two key takeaways, and a clear call to action.

  • Include the email's goal, the recipient's role, and the desired next step. For example: "Write a two-paragraph follow-up email for a VP of Sales who attended a product demo. Acknowledge something specific from the call. The goal is to schedule a next meeting."

  • Define the tone and how the message should sound. For example: professional and concise, friendly and conversational, or confident but not pushy.

  • Avoid instructions that apply only to one situation. Instead, use field placeholders to insert information about the contact or account dynamically.

  • Use a single language when you define your prompts. Using multiple languages can lead to unpredictable output, potentially generating content in an unintended language.

  • Don't include sign-offs. Avoid ending your prompt with instructions like "Best, [Name]" or "Sincerely", because Gong appends your email signature based on what you've configured in your email signature settings.

  • Only use prompts in auto email steps if there is existing Gong data for the recipient, such as multiple recorded calls and emails. The AI primarily pulls context from these interactions, so a lack of data results in a generic outbound message.

Preview a prompt

Previewing a prompt shows you an example of the email Gong would generate for a specific contact or deal.

To preview a saved prompt:

  1. From the left sidebar, click Assets, and select Content templates.

  2. Click the prompt to open it.

  3. Click Preview.

  4. Select a contact, account, call, or deal to give the preview context.

  5. Click Refresh to generate an example output.

  6. Review the generated email.

Use a prompt in a one-off email

When composing a one-off email, you can select a saved prompt to have Gong generate the email body and subject line. You can edit the output before sending.

To use a saved prompt in a one-off email:

  1. Open the email composer using one of these methods:

    • Hover over someone's name and click the email icon.

    • Go to To-dos and click Write email next to an email to-do.

    • Go to People and click the email icon.

    • Go to a call page and click Generate follow-up email.

  2. Click Templates.

  3. Filter to Prompts.

  4. Select the prompt you want to use.

  5. Wait for Gong to generate the subject line and email body.

  6. Review and edit the output as needed.

  7. Send the email.

Note:

Gong AI does not generate a signature as part of the email body, whether you are sending a manual or auto email. Instead, Gong automatically attaches the signature you have configured in your signature settings.

Use a prompt in a flow step

Saved prompts work for both manual and automated email steps in a flow. For manual steps, Gong generates the email when you open the to-do and write the email. For automated steps, Gong generates and sends the email automatically at the scheduled time.

Note:

Prompts are not supported in reply-thread email steps. They work only in new-thread email steps.

To add a prompt to a flow email step:

  1. From the left sidebar, click Assets, and select Flows.

  2. Open the relevant flow.

  3. Click the email step to configure it.

  4. Select an existing saved prompt, or enter a new prompt directly while you configure the step.

  5. Save the flow step.

A prompt you enter directly in the step is used only for that step. It isn't saved for reuse.

Example prompts

Use these example prompts as a starting point and adjust them to fit your outreach.

Pain points

Search our recent Gong calls with {{recipient.first_name}} at {{recipient.company_name}} to identify the top three pain points discussed with this account to date. Use the Gong context to identify a relevant customer goal, challenge, or initiative connected to those pain points.

Write a punchy subject line mentioning one of their specific goals from a Gong transcript.

Structure the email body using the following framework: hook, bridge, value, CTA

  • Hook: start with a personalized opening referencing a recent conversation, priority, or business initiative mentioned in Gong context

  • Bridge: summarize the recipient's top pain point based on Gong context and connect it to the opening

  • Value: clearly explain how our solution addresses the identified pain point

  • CTA: end with a clear and concise call to action

Tone: clean, professional.

Follow-up email

Write a follow-up email to {{recipient.first_name}} after our recent conversation.

The email should:

  • thank them for their time

  • summarize the main priorities discussed

  • include the next step if available

  • end with a simple call to action

Tone: professional, friendly, concise.

Prospecting email

Write a short prospecting email to {{recipient.first_name}} at {{recipient.company_name}}.

The email should:

  • Open with a clear reason for reaching out

  • Reference a common business challenge relevant to the recipient's role or industry

  • Be under 120 words

  • Include a simple meeting ask

Tone: direct, helpful, not overly sales-focused.

Re-engagement email

Write a re-engagement email to {{recipient.first_name}}.

The email should:

  • acknowledge that it has been a while

  • reconnect to the last conversation or priority

  • offer a reason to reconnect now

  • ask for a short follow-up meeting

Tone: polite, confident, concise.

Frequently asked questions

Can I edit the email Gong generates from a prompt?

For manual emails, yes. After Gong generates the email, you can edit the subject line and body before sending. Changes you make to the draft do not affect the saved prompt.
For auto emails, no. The email is sent automatically, so you cannot edit or review the generated content before it gets sent out.

Do I need to review the generated email before sending?

Yes, except for auto emails, which are sent out automatically. While we do our best to ensure the information provided by AI is accurate, we cannot guarantee that it will not hallucinate. Always review AI-generated emails to ensure the content is accurate and appropriate before sending.

Can I use field placeholders in a saved prompt?

Yes. Add field placeholders to your prompt instructions or to fixed text in the email. Gong resolves field placeholder values from your CRM data and the AI generates content from the prompt instructions. Learn more about personalizing outreach with field placeholders.

Why did the prompt generate a different email than my preview showed?

Gong generates content dynamically each time based on the available context at that moment. Context can change between preview and send (new calls, updated CRM data, different contact activity). The preview is a sample, not a guaranteed output.

Can prompts research information online?

No. Online research is currently disabled due to inconsistent and unpredictable results. In some cases, generated content may still reference general company or industry information. This comes from the model's training data, not from live online research.

What happens if a prompt fails to generate?

If a prompt fails to generate content, you see an error message and can edit the email manually. For auto emails, the step is converted into a manual email. Learn more about troubleshooting engagement content issues.
