Your personal templates and blocks live in the Assets library, where you create content, organize it into folders, share it with team members, and track how it performs. The steps are the same for templates and blocks unless noted.
Note:
Your permission profile controls what you can create, edit, and share. To create or edit personal content, you need the Create and manage personal templates and blocks permission. To share templates and blocks with team members, you need the Share personal templates and blocks permission. The ability to duplicate personal templates into company templates is also managed through permission profiles. Contact your admin if you don't have access. Admins can view all personal content in your company and managers can view personal content of their direct reports. Neither can edit content they don't own.
Create a personal template or block
Personal templates and blocks are visible only to you unless you share them. They're created from the Assets library. There is no limit to the number of personal or company templates and blocks you can have.
Create a personal template
Create a template for reusable content with a subject line and body. Templates can also include file attachments.
To create a personal template:
From the left sidebar, click Assets, and select Content templates.
Do one of the following:
Click + New, and select New template.
To create the template inside a specific folder, click + beside the folder name.
Click the template name at the top and enter a descriptive name.
Add a subject line.
Write your template content in the text editor. You can add formatting, field placeholders (Personalize outreach with field placeholders), emojis, and images.
(Optional) Drag and drop an image or GIF into the body of the template to add an in-line image.
(Optional) To make the template available for call follow-up emails, select Use for call follow-ups. Team members can then use it when they send follow-up emails from a call page.
(Optional) Click the attachment icon to add a file. The total size including attachments can be up to 20 MB. If the template hasn't been saved yet, you are prompted to save it before you add the attachment.
Click Save.
The template body can be up to 3 MB. Body size does not include attachments, but it does include in-line images and GIFs.
To test a template against a real call:
Open the template and click Preview.
Select a contact.
Choose one of the contact's calls.
Refresh the preview. Gong generates an example follow-up email based on the selected call.
Create a personal block
Blocks don't have a subject line and cannot include attachments. The maximum block size is 3 MB. Otherwise, the process is the same as creating a template.
To create a personal block:
From the left sidebar, click Assets, and select Content blocks.
Do one of the following:
Click + New, and select New block.
To create the block inside a specific folder, click + beside the folder name.
Click the block name at the top and enter a descriptive name.
Write your block content in the text editor. You can add formatting, field placeholders, and emojis.
(Optional) Drag and drop an image or GIF into the body of the block to add an in-line image.
Click Save.
Edit a personal template or block
You can edit any template or block in your personal library. Changes take effect the next time you apply or insert the content.
To edit a personal template or block:
From the left sidebar, click Assets, and select Content templates or Content blocks.
Click the template or block to open it.
Make your changes in the text editor.
Click Save.
Field placeholders are filled in automatically based on the recipient or account information. They are different from manual placeholders, which can be any text between curly brackets. A manual placeholder is meant for the person using the template or block to replace with the relevant information before the email goes out. Gong lets you know before an email is sent if any field placeholders or manual placeholders are still left in it.
Note:
You cannot edit shared content directly. Company templates and blocks can be edited only by tech admins and team members with the permission to create and manage company templates and blocks. Company content is available to everyone in your company, so any changes made to it can affect everyone. To edit shared content, duplicate the template or block to your personal library first (Working with templates and blocks).
Delete a personal template or block
Deleting a template or block permanently removes it from your library. This action cannot be undone.
To delete a personal template or block:
From the left sidebar, click Assets, and select Content templates or Content blocks.
Hover over the template or block and click the More actions icon

Select Delete and confirm.
Share a personal template or block
Sharing gives another team member read-only access to a template or block from their library. They can use or archive it, but to edit it, they need to duplicate it first. Shared templates and blocks can be used when drafting emails or building flow email steps. You can share a single template or block, or a whole folder.
Required permissions:
Share personal templates and blocks
To share a personal template or block:
From the left sidebar, click Assets, and select Content templates or Content blocks.
Hover over the template or block and click the More actions icon

Select Share.
Search for and select the team members or teams you want to share with.
Click Share. The content appears in their Shared with you folder.
To share a folder:
From the left sidebar, click Assets, and select Content templates or Content blocks.
Click the More actions icon next to the folder you want to share.
Select Share.
Select the name of a team member or an entire team to share the folder with.
Only the owner of a folder can add content to a folder they share.
To un-share a template, block, or folder:
Open the sharing options for the item or folder the same way you did when you shared it.
Remove the team members or teams you no longer want to share with.
Archive content shared with you
Depending on your permissions, you can archive templates and blocks from your Shared with you folder to keep your library tidy. Only content in this folder can be archived, because you cannot delete content that was shared with you. Archived content is not available when composing emails or building flow steps, but you can restore it.
To archive or restore shared content:
From the left sidebar, click Assets, and select Content templates or Content blocks.
Open the Shared with you folder.
Hover over the item and click the More actions icon
. Do one of the following:
To archive: Select Archive. The item moves to your archived folder and is no longer available for use.
To restore: Open your archived folder, hover over the item, and select Restore.
Track template and block performance
The content library shows usage metrics for templates and blocks you can access, including how many times they've been sent, opened, and clicked, and when they were last modified. Use these metrics to identify what messaging resonates.
To view performance metrics:
From the left sidebar, click Assets, and select Content templates or Content blocks.
Click a folder to see performance metrics for each item in the folder.
Two metrics need more detail:
Clicked link: If a block contains 1 or more links, and at least 1 recipient clicks one of them, Gong counts it as a clicked link.
Last modified: The last time the template or block was saved, and who saved it.
The metrics for each influencer template are based on your whole company's usage, not personal usage.
Note:
Metrics cover usage across one-off emails, flow steps, and emails sent from the Gong Chrome extension and the Outlook add-in. Admins and managers can view metrics for all personal content owned by their teams.
Frequently asked questions
How many templates and blocks can I have?
There is no limit to the number of personal or company templates and blocks you can have in Engage.
Can I organize templates and blocks into folders?
Yes. Click + New in the template or block library and select New folder. Enter a folder name and click Create.
Can I add videos to a template?
You cannot embed videos directly in a template, but you can add a video file as an attachment. The total size of a template including attachments can be up to 20 MB.
What is the maximum size for templates and blocks?
