Publishing a dashboard makes it visible to viewers. You choose who can see it: invited team members only, or everyone with access.
Publish and share a dashboard
Publishing opens a sharing dialog where you invite team members, set the access level, and optionally send a notification. The dashboard becomes visible to viewers as soon as you click Share.
To publish and share a dashboard:
From the left sidebar, click Dashboards and open the dashboard you want to publish.
Note: Unpublished dashboards show a Draft badge next to the title and a Publish and share button at the top right.Click Publish and share.
Under Invite, search for and select the team members or teams you want to share the dashboard with.
The Send notifications checkbox is selected by default. This controls whether invited team members receive an external notification (email or Slack). Deselect it to skip the notification.
(Optional) Enter a message in the Message text field to personalize the notification.
Under Add people, set who can access the dashboard:
Everyone in <company name> (public): All team members with the Dashboards page permission can see it. It appears under Public for everyone; invited people also see it under Shared with you.
Invited people (restricted): Only the people you invited can see it.
Click Share.
After publishing, the dashboard moves from Draft to the appropriate section in the left sidebar, either Public or Restricted, depending on the access you set.
Note:
Invited team members who don't have an active Forecast seat or the Dashboards page permission in their profile will receive the notification but won't be able to view the dashboard.
Unpublish a dashboard
Switching a dashboard back to draft hides it from viewers until you publish it again.
To unpublish a dashboard:
From the left sidebar, click Dashboards and open the dashboard you want to unpublish.
Click the More actions
icon and select Switch to draft.
The dashboard moves back to draft state. The Publish and share button reappears at the top right when you're ready to publish it again.
Frequently asked questions
I shared a dashboard with someone, but they can't see it. Why?
The most common reasons are: they don't have an active Forecast seat, or their permission profile doesn't include the Dashboards page permission. Ask your tech admin to check both in Admin center > Permission profiles. If permissions look correct, ask the team member to update their browser to the latest version, clear their browser cache and cookies, and try again.
Can I change who has access after publishing?
Yes. Click Share dashboard at the top right of the published dashboard to open the sharing dialog again. You can invite additional people, change the access level between Invited people (restricted) and Everyone in <company name> (public), and send updated notifications.
What is the difference between Invited people (restricted) and Everyone in <company name> (public)?
Invited people (restricted) means only the specific team members you selected in the Invite field can see the dashboard. It won't appear for anyone else. Everyone in <company name> (public) means all team members with the Dashboards page permission can find and view it. Invited people see it under Shared with you; everyone else sees it under Public. Admins with edit permissions can edit either type.
