Work through Gong-recommended to-dos

Prev Next

Who can use this: Any team member

Available on: Gong Engage

Ideal for: Sales rep

Work through your Gong-recommended to-dos as they appear based on your calls, meetings, emails, and CRM activity. Each type has its own trigger, timing, and available actions. You cannot customize when Gong-recommended to-dos appear, because their timing follows best practices.

Note:

Gong-recommended to-dos are not triggered by internal email replies. Recommendations for deal owners are based on the CRM owner field. Calls shorter than 10 minutes, or calls with only participants from your company, do not trigger a meeting follow-up to-do.

From any Gong-recommended to-do, you can also dismiss it, mark it as complete, or change its due date. The following table shows when Gong completes or dismisses each recommended to-do automatically.

Meeting follow-up

To write a follow-up email:

  1. From the left sidebar, click To-dos.

  2. Click the to-do to open it.

  3. (Optional) Expand the to-do to review next steps discussed during the call, or click a timestamp to jump to that moment in the recording.

  4. Click Write email. For recorded calls, the email includes an AI-generated draft and a link to the call recording. The call link expires in five days.

  5. Edit the email and send it.

To send a nudge email:

  1. From the left sidebar, click To-dos.

  2. Click the to-do to open it.

  3. Click Write email. The AI draft is based on the previous email you sent to this person.

Response

A Response to-do appears when a prospect in a flow replies to an email. To work it, follow the steps in Work through flow to-dos.

Intro

Send an intro email before your first meeting with a prospect. Deal owners with an Engage license receive this to-do, even if they are not the meeting host. It appears only when it is your first meeting or email with this person and you have not owned a deal in their account in the past 12 months. The to-do appears at 6 AM the day before the meeting.

To send an intro email:

  1. From the left sidebar, click To-dos.

  2. Click the to-do to open it.

  3. Click Write email. A customizable template is included to help you confirm the meeting.

  4. Edit the email and send it.

Meeting confirmation

Confirm that guests are attending an upcoming meeting when none of the required guests have accepted the invite. Deal owners for the deal associated with the meeting receive this to-do. The to-do appears at 4 PM the day before the meeting.

To send a confirmation email:

  1. From the left sidebar, click To-dos.

  2. Click the to-do to open it.

  3. Click Write email. The AI draft is generated using the meeting subject, date, and time.

  4. Edit the email and send it.

No next meeting

Email a contact to schedule a next meeting when you have no upcoming meeting booked with them. Deal owners who have CRM and calendar integrations set up and emails imported to Gong receive this to-do. The to-do appears approximately two days after a call or meeting, and only when no meeting is scheduled within the next three months.

To write an email from this to-do:

  1. From the left sidebar, click To-dos.

  2. Click the to-do to open it.

  3. Click Write email. The email is addressed to the external attendees of the last call or meeting.

  4. Edit the email and send it.

Back from OOO

Follow up with contacts after they return from an out-of-office period. Deal owners with an Engage license receive this to-do.

  • Trigger: Gong detects an Out of Office reply and identifies the person’s return date. The related deal must still be open, and you must not have emailed that person in the previous three days.

  • Timing: The to-do appears the morning after the person’s return date.

To write a follow-up email:

  1. From the left sidebar, click To-dos.

  2. Click the to-do to open it.

  3. Click Write email. The AI draft is based on your original email and the person’s Out of Office reply.

Frequently asked questions

I dismissed a recommended to-do by mistake. Can I get it back?

Yes. Gong-recommended to-dos can be reopened for seven days after they have been dismissed. After seven days, they are permanently deleted.

Why am I getting a meeting follow-up to-do for a call I did not host?

For a recorded call, the Meeting follow-up to-do goes to the call owner only, who may not be the host. For a non-recorded meeting, it goes to the eligible meeting organizer. Other participants do not receive it.

Why did I not get a meeting follow-up to-do?

If you already sent an email from your email client towards the end of the meeting or after it, you do not get this to-do. If you did not get the to-do, go to the call page and click Generate follow-up email to get an AI-recommended email draft.

Why did I not receive a no-next-meeting to-do?

This to-do requires a CRM integration, a calendar integration, and emails imported to Gong. It also requires that you are the deal owner mapped in the CRM owner field, not the deal board owner in Gong. It is triggered by a recorded call with someone related to an open deal. If no call was recorded, or the contact is not related to an open deal, it does not appear. If all prerequisites are met and you still do not see it, contact your admin.

I sent a link with several possible time slots. Will I still see the no-next-meeting to-do?

Yes. If you sent a link with several possible slots through an integration such as Calendly or Chili Piper, the to-do appears until the person chooses one of the slots.

I sent a Google Calendar invite. Will I see the no-next-meeting to-do?

No. Once you send a calendar invite, Gong sees that you have an upcoming meeting. If no one accepts the meeting, you receive a Meeting confirmation to-do before the meeting is set to take place.

I scheduled a next meeting but still see the no-next-meeting to-do. Why?

If you scheduled a non-recorded meeting, Gong does not recognize it unless non-recorded meetings import is enabled. To set up non-recorded meetings import, contact your Tech admin.

What does it mean when a recommended to-do completes automatically?

Gong detects that the relevant action already happened, for example that an email was sent or a meeting was scheduled, and marks the to-do as complete automatically. You do not need to mark it yourself.
