Flow to-dos appear when a flow step is due for a contact or lead you are assigned to, or when a flow outcome requires your attention. The to-do type tells you what action to take.
Notes:
Flow-generated to-dos expire after 120 days by default. When a flow to-do expires, it is dismissed and the person is removed from the flow.
Email response, Email bounced, and Meeting booked to-dos expire after 30 days. If one expires while the flow is still paused, the person is removed from the flow.
The person also leaves the flow when the Email response to-do is completed, dismissed, or deleted, and only if the flow is still paused.
An out of office response with a return date snoozes the to-do until that date.
You do not need to be an opportunity owner to receive flow to-dos.

Task

To complete a task step:
From the left sidebar, click To-dos.
Complete the task described in the to-do.
Click Mark as complete.
Start a flow to-do
This to-do appears when you are the flow assignee for a company flow that uses an automation rule to find contacts, and the rule returns more than one contact or no contacts at all. Select the contact or contacts from the relevant account to add to the flow.
Flow outcome to-dos
When a significant event happens for a contact or lead in your flow, Gong pauses their flow and generates an outcome to-do for you to handle.
Meeting booked
A Meeting booked to-do is generated when a meeting is scheduled with a contact or lead in your flow. Their flow is paused until you resume it. The expiration rule in the Notes at the top of this article applies.
From this to-do, you can:
Click Resume flow to unpause their flow and continue from the next step.
Click Remove contact from flow to stop the flow for this person.
Note:
You cannot change the due date of a Meeting booked to-do when the meeting is tomorrow.
Response
When a prospect in your flow replies to an email within 14 days, Gong generates a Response to-do. Automated replies do not trigger this to-do. Their flow is paused until you take action. The Notes at the top of this article explain when the person leaves the flow.
From this to-do, you can:
Complete: Marks the to-do as done.
Dismiss: Closes the to-do without marking it as done.
Skip: Advances to the next step in the flow.
Resume flow: Unpauses the flow without completing or dismissing the to-do.
Pause flow for all account contacts: Pauses flows for other contacts at the same account who are also in a flow.
Skip step and Remove from flow
These two actions have different outcomes. Understanding the difference helps you avoid accidentally ending a contact's flow.
Skip step: The current step is dismissed and the contact or lead advances to the next step. They remain in the flow.
Remove from flow: The person is removed from the flow entirely. No further steps are generated for them.
Frequently asked questions
My flow to-do disappeared. What happened?
Several things can cause a flow to-do to disappear:
The to-do expired after 120 days by default and was automatically dismissed.
The to-do expired while the flow was paused (see the Notes at the top of this article).
A meeting was booked or a response was received, pausing the flow and generating an outcome to-do instead.
The contact or lead was deleted in the CRM, stopping the flow.
Someone used Remove contact from flow on the to-do.

Can I change which flow a contact is in from a to-do?
Yes. From the Contact section on the right side of the to-do window, you can add the contact or lead to a different flow, pause their current flow, or remove them from their flow.
What happens to a person's other flows when one flow is paused?
It depends on the to-do that paused the flow:
Bounced email, Email response, and Meeting booked: Only the relevant flow is paused automatically. You can choose to pause all flows for that person or all flows for the entire account.
Bounced email, other flows: Emails already scheduled to go out from another flow to the bounced address still send unless you take action before the scheduled send time. If you start drafting a new message to that address from another flow, the To field shows that the address is invalid.
Out of office response: The current to-do for all of the person's flows is snoozed, and the flows stay paused until the return date. If Gong cannot detect a return date, the flows are not paused and continue as originally scheduled, even if the only replies are repeated automated out of office messages.
Missed call back: Only the flow the call came from is paused.
What happens when someone is marked as do not contact?
If someone unsubscribes through an unsubscribe link, they can choose to unsubscribe from only the relevant flow or from all flows they are in. Gong marks them as "do not contact" whether they unsubscribe from one flow or all of them. If you mark someone as "do not contact" manually, Gong automatically removes them from all flows they are in.
The wrong LinkedIn profile is matched to my contact. How do I fix it?
A wrong match continues to appear, whether you or another team member marked it, until you mark it as not the right person.
To mark a LinkedIn match as incorrect:
Click the user icon at the top right of the LinkedIn window.
Click Not the right person.
Can I log a LinkedIn message or connection request to my CRM?
The Log this conversation to CRM option is available for LinkedIn messages only, not for connection requests. Whether you see it also depends on your LinkedIn Sales Navigator plan. Gong supports only the Sales Navigator Advanced Plus license, which includes full CRM integration.
