Use the Gong extension in Gmail

In Gmail, the Gong Extension lets you see which people in a thread are contacts, complete email to-dos and start calls from their contact panel, and insert templates and blocks or rephrase your draft while you compose.

Identify contacts in Gmail

When you open an email, the extension shows you which people in the thread are contacts in Gong. Each person in the To, CC, or BCC fields gets a status indicator based on how Gong recognizes them.

To open the contact panel for someone in Gmail:

  1. Open an email in your Gmail inbox.

  2. Click the purple person icon next to the contact's name.

  3. The extension side panel opens with their contact details, recent activity, flow status, notes, and to-dos.

Start an email draft from the contact panel

Open a new Gmail compose window addressed to a contact directly from their contact panel.

To start a draft:

  1. Open the contact panel for the person you want to email.

  2. Click the contact's email address or the email icon in the contact panel.

  3. A new compose window opens in Gmail addressed to that contact.

Complete an email to-do from Gmail

Email to-dos for a specific contact can be completed directly from the contact panel. The composer opens with the email pre-populated.

To complete an email to-do:

  1. Open the contact panel for the relevant contact.

  2. Under To-dos, find the email to-do you want to complete.

  3. Click the to-do to open the composer. The email is pre-populated based on the flow step.

  4. Review and send the email. Gong marks the to-do as complete.

Use templates and blocks in Gmail

Templates and blocks from your Engage library are available while you compose, so you can insert them without leaving Gmail.

To use a template or block:

  1. Open a compose window in Gmail.

  2. In the compose window, click Templates or Blocks.

  3. Browse your library and click the one you want to insert.

  4. The content is inserted into your email draft.

Note:

If you specify recipients before selecting a template, the first recipient you specify is the one we use to fill in variables automatically. If you select a template containing variables and haven’t specified a recipient for your email, those variables won’t be filled in automatically when you apply the template. We’ll highlight any unresolved variables in red and give you a confirmation message to make sure you spot them before sending your email.

Rephrase email content

The rephrase tool rewrites your whole email or a selected part. Highlight at least five words to rephrase a specific section, or leave nothing selected to rephrase the full email.

To rephrase an email:

  1. Open a compose window with content you want to rephrase.

  2. To rephrase a specific passage, highlight at least five words. To rephrase the whole email, leave nothing selected.

  3. In the compose window, click Rephrase.

  4. Review the suggestions and select one to apply.

Start a call from the contact panel

From any contact panel in the extension, you can initiate a call through Gong Dialer.

To start a call:

  1. Open the contact panel for the person you want to call.

  2. Click Call.

  3. Gong Dialer opens so you can place the call.

Use Ask anything

From the contact panel, Ask anything lets you ask open-ended questions about a contact and get AI-generated answers based on your recent conversations with them.

To use Ask anything:

  1. Open the contact panel for a contact.

  2. Click Ask anything.

  3. Type your question and press Enter. Gong returns an answer based on recent call and email activity.

Frequently asked questions

Can I send emails directly from the extension, or does it only start drafts?

The extension opens a Gmail compose window. You can review and send from Gmail as you normally would.

What happens if the recipient is not in my CRM?

The extension shows a contact panel only for people linked to a contact or lead in your CRM. If someone is not in your CRM, you will not see the purple person icon or contact details for them. Email tracking is also only available for CRM-linked addresses. If you add the person to your CRM later, any previous emails are tracked retroactively.

Why are variables not filling in automatically in my template?

Variables fill in from the contact's CRM record. If a variable stays blank, the relevant field is either empty or missing in the CRM for that contact. Update the CRM record and the variable fills in when you next use the template for that contact.

Can I use Gong Extension with plain text emails?

The extension works in Gmail in plain text mode, but email tracking is not available for plain text emails. Tracking requires an HTML email to include the open pixel and modified link URLs. To switch from plain text to rich text, open a compose window, click the More actions menu in the toolbar, and uncheck Plain Text Mode.
