Use the Gong extension in Outlook

When Gong Extension is active in Outlook, a side panel appears alongside your emails. From it you can work through to-dos, access contact context, update CRM fields, and compose emails, without leaving Outlook.

Open the side panel

The side panel is how you access Gong Extension features in Outlook. Open it once and it stays available for the session.

To open the side panel:

  1. Open any email in your Outlook inbox.

  2. Click the Gong icon in the Outlook toolbar.

  3. Click Open side panel.

Pin Gong Extension to your Outlook toolbar so the icon is always visible.

Use templates and blocks while composing

Templates and blocks from your Engage library are available in the side panel while you compose.

To use a template or block:

  1. Open a new email draft in Outlook.

  2. In the Gong group on the toolbar, click Templates or Blocks to browse your library.

  3. Click the item you want to insert. It is added to your draft.

Rephrase email content

The rephrase tool rewrites your whole email or a selected passage. Highlight at least five words to rephrase a section, or leave nothing selected to rephrase the full email.

To rephrase content:

  1. Open a compose window with the content you want to rephrase.

  2. To rephrase a specific passage, highlight at least five words. To rephrase the whole email, leave nothing selected.

  3. In the side panel, click Rephrase.

  4. Select a suggestion to apply it, or close to keep your original.

Identify contacts and view contact context

The side panel shows which people in the thread are synced to Gong. Click a contact's name to see their flow status, recent activity, contact details, notes, and to-dos.

To view contact context:

  1. Open an email or start a compose window.

  2. Open the side panel.

  3. Hover over an email in the conversation to see which contacts are synced with Gong.

  4. Click a contact's name to see their full context.

Note:

If a contact is marked as do not contact in Gong, this is indicated in the side panel once you add them to the To field of an email. This is a warning only: it does not prevent you from sending. You can still send the email, but doing so may violate your company's compliance policy. Check with your admin if you are unsure.

Create notes, to-dos, and complete tasks

From contact view in the side panel, notes, to-dos, and flow tasks are all completable without leaving Outlook.

To create a note:

  1. Open contact view for the relevant contact.

  2. Click the Notes tab, and then click Add note.

  3. Enter your note and save.

To create a to-do:

  1. Open contact view for the relevant contact.

  2. Click the To-dos tab, and then click New to-do.

  3. Enter the details and click Save.

To complete flow tasks (email, call, LinkedIn, and other step types), select the task in contact view and complete it directly from the panel.

Update CRM fields

CRM field edits made from contact view sync back to your CRM directly. No need to open Salesforce or Dynamics separately.

To update a CRM field:

  1. Open contact view for the contact.

  2. Find the field you want to update.

  3. Click the field, enter the new value, and save.

Make calls

From contact view, the Gong Dialer opens directly so you can make calls without leaving Outlook.

To make a call:

  1. Open contact view for the contact you want to call.

  2. Click Call.

Frequently asked questions

Can I send emails and complete flow tasks directly from Outlook?

Yes. You can complete email-type flow tasks directly from the Gong Extension side panel in Outlook. The compose window opens within Outlook, and sending from there completes the to-do in Gong. Other task types, including calls, LinkedIn steps, and custom tasks, can also be completed from the side panel.

What changes if the side panel is closed?

If the side panel is closed, you lose access to contact context, templates, blocks, rephrase, and Gong actions while composing or reading. Reopen it by clicking the Gong icon and selecting Open side panel. Pinning the add-in keeps the icon accessible at all times.
