Who's this for? Reps
The to-dos you see on the To-dos page help you keep track of everything that's on your plate, including to-dos that Engage creates for you and to-dos you can create for yourself. Knowing the different types of to-dos can make it easier to decide which tasks you want to start your day with.
AI to-dos
Engage uses Gong's AI to identify potential actions you might want to take when engaging with potential customers. With Gong letting you know about these actions, there's less of a chance that a follow-up action will slip through the cracks. Learn more about AI to-dos and their different uses.
While not currently customizable, the timing for AI to-dos is based on best practices.
You can take action directly from an AI to-do by clicking Write email.
Where will I see AI to-dos?
-
Throughout Engage: On the Pipeline page, on individual deal pages under Pipeline, on the Accounts page, and on the To-Dos page.
-
Email and mobile: In addition to the to-dos you see in Gong, you'll receive a daily email and mobile notification with a summary of your new and open to-dos. This email is sent once a day. You can select when you want to receive it in My Notifications under your profile in Gong.
-
Slack: You can also get a Slack notification once a day about open to-dos from the last 24 hours. You'll see this notification on both Slack desktop and mobile. If you click a to-do from your desktop, you’ll be directed to Engage. From mobile, you’ll be directed to the Gong mobile app.
To receive Slack notifications, your admin should set up an integration between Slack and Gong. You’ll also need to check with your admin that Engage Slack notifications are turned on at the company level.
Go to My Notifications under your profile in Gong to select what time of day you want to receive Slack notifications, or to opt out. If your admin toggles Slack notifications off for your company, you won’t receive notifications, regardless of your personal setup.
-
On call pages: See any to-dos relating to specific calls on the call page via the right panel.
Flow to-dos

One-off to-dos

Where will I see one-off to-dos?
-
Throughout Engage: On the Pipeline page, on individual deal pages under Pipeline, on the Accounts page, and on the To-Dos page
How do I create a one-off to-do?
-
From Pipeline: Click +Add to-do in the top right corner. From individual deal pages, click Add to-do at the bottom of your to-do list.
-
From Accounts: Click New > To-do in the upper right corner. You can also select an account and add a to-do in the To-dos section.
-
From To-Dos: Click +Add a to-do in the upper right corner.
When creating a one-off to-do, you can choose the to-do type: email, call, or task.
Depending on which task type you choose, the to-do appears on the To-dos page under its respective column. To-do type is set to 'Email' by default.
For a one-off to-do where you've selected email or call as to-do type, selecting the person you want to email or call is required. For leads, no account will be shown. For contacts, the connected account will be shown automatically.
For a one-off to-do where you've selected task as to-do type, selecting a person is optional. If you select a lead from the list, the account field is disabled. You can also leave the 'person' field blank and just choose an account.
By default, the To-dos page shows all to-dos that are overdue and due today, sorted by recent engagement. This means they're sorted according to who viewed an email or clicked on a link in an email most recently.
Sorting
To help you prioritize, you can sort your to-do list according to due date, recent engagement, engagement count, or local time. The local time corresponds with a field in your CRM, and will only appear for contacts and leads that have a time zone recorded in your CRM.
The engagement count for each contact is shown with a blue lightning bolt next to the contact name, showing you how many digital interactions that person had.
This way, you can focus on tasks related to people that are showing signs of interest.
Filtering
Maybe you want to handle a bunch of calls that are due today, send out a bunch of LinkedIn messages for a particular flow, or catch up on emails for the next hour. You can move between the different tabs at the top left of the To-dos page to show all tasks, or tasks of a specific type. At the top right, you can filter to show only to-dos from a specific flow or toggle to show only to-dos that are overdue and due today.
You can also filter by relevant CRM data, like account tier or account owner, to prioritize your tasks efficiently. To do this, click Add filter and select the CRM field you want to filter by. Note that account to-dos can be filtered by account and lead fields, whereas pipeline to-dos can be filtered by account and opportunity fields. Only imported CRM fields are available for selection.
If you leave this page, your filter selection will be saved for you when you come back to it.
Click the lightning bolt at the top right to see a combined list of all the digital interactions that occurred across your accounts over the last 14 days, helping you gauge signs of interest and find the right moment for a follow-up. Digital interactions are any interactions your contacts or leads had with calls, emails, 3rd party apps and more.
Gong automatically shows you any time someone viewed an email, viewed a shared call, or clicked on a link in an email sent from the Gong email composer. In addition, there are tons of 3rd parties you can ask your admin to connect to. Connecting with these 3rd parties gives you more insight into contact and lead activity, from taking a survey to viewing a contract.
Hover over the blue lightning bolt next to someone's name to see their recent digital interactions.
Now that you know which tasks are most critical for today, let's start checking items off your list. Depending on your role, executing the tasks on your list might involve sending emails, making calls, sending LinkedIn messages and connection requests, and more.
Open your next to-do automatically
Once you've filtered your to-do list to show the tasks you want to action, you can toggle on at the top right to move between tasks without having to open and close the task window. This way, once you open your first task, complete a to-do or click Next and we'll show you the next to-do on your filtered list. For now, this is available when working on to-dos in the email and call tabs only.
Send an email
Any to-do that prompts you to write an email with a button will open the email composer.
To make writing emails even quicker, take advantage of templates, inspiration from your teammates, the AI rephraser, and other tools that are available to you from directly within the email composer.
You'll notice that auto-send emails, which are used in flows, won’t appear on your list of to-dos unless there are values missing for variables or the contact has no email address, in which case the step will become a regular email step in your list of to-dos.
Make a call
Any to-do that prompts you to make a call with a button will open the Gong dialer, so you can call people directly from Gong. These calls can be recorded, giving you the same analytics and insights as all recorded calls in Gong.
To use the dialer, your admin must enable it for you, and must set business numbers that are available either to you specifically (assigned numbers) or to your entire team.
You can use templates for call scripts to make things easy when it comes time to dial someone.
Send LinkedIn connection requests and messages
To send LinkedIn connection requests and messages from Gong, your admin must integrate LinkedIn Sales Navigator and Gong, and you must have a LinkedIn Sales Navigator Advanced or Advanced Plus license.
While writing your message, use the tabs on the right side to get context about the person or account you're engaging with.
Dismiss or skip a to-do
To dismiss an AI to-do or a one-off to-do, click on the right and click Dismiss.
AI to-dos and one-off to-dos can be reopened for 7 days after they’ve been dismissed. If they’re not reopened in 7 days, they’ll be permanently deleted.
To skip a flow to-do, click on the right and click Skip step. This causes the contact or lead to skip this step in the flow.
Complete a to-do
When you’re ready, click the check mark on the left side of a to-do to complete it. AI to-dos can be reopened for 90 days after they’ve been completed. If they’re not reopened in 90 days, they’ll be permanently deleted.
You can also complete an AI to-do or flow to-do while actioning it. Once you've opened a to-do window, clicking Complete on the bottom left. Learn more about actioning your to-dos .
