Templates are pre-written pieces of content you can reuse to reach out to prospects and customers. They can include text with rich text formatting, variables, attachments, and more. When applied, a template replaces the entire body of text, unlike blocks which can be inserted into specific places within pre-existing text.
Templates can help you and your team:
Save time: Quickly apply pre-written content to emails and flows, reducing manual effort.
Ensure consistency: Maintain a unified messaging style across teams.
Improve quality: Reduce errors and ensure best practices are followed.
Once created by a team member or a business admin, templates can be used for emails and flow steps.
Admins can set a template as the default content for a flow step. Team members can then choose whether to use it or write their own content.
For non-flow emails, templates are not set as the default. Team members can select the one they want to use.
When team members send an email or take action in a flow step that contains a template with variables, the variables automatically populate with the relevant details about you and the people you're contacting. If there are still missing variables or placeholders when you go to send an email, we’ll notify you so you can remove or replace them.
Permissions & access
Tech admins can control who can create, edit, and use templates. Only Gong tech admins and business admins (or people who can manage general business settings) can edit company templates. These templates are available to everyone in your organization, so any changes made to them can affect everyone.
While company templates are automatically available to all team members, you can share personal templates or folders with team members, depending on your permissions. Once shared, teammates can view templates in their template libraries and use them for sales engagement.
Best practices
Setting up a content committee that’s responsible for developing, deploying, and maintaining your team’s templates can help your company create high-quality content. See our Content Committee Guide for more guidance on how to set one up. You can also download our flow publishing checklist to help you stay on top of template best practices.
