Who can use this: Tech admin
Available on: Gong Foundation
Give team members access to Gong Assistant by confirming their seat and data access, and then setting the Gong Assistant permissions in their permission profile. To learn what team members can do once they have access, see About Gong Assistant.
Step 1: Confirm the team member has a Gong Foundation seat
Gong Assistant requires a Gong Foundation seat. Confirm the seat before you adjust anything else. To learn more about seat types, see Plans and seats.
To confirm a team member's seat:
From the left sidebar, click Admin center.
In the Settings tab, click Team members under the People card.
Open the team member, and check the Seats section for their seat.
If the team member does not have a Gong Foundation seat, turn on the Gong Foundation seat in the Seats section.
Note:
Collaborators can't use Gong Assistant.
Step 2: Confirm data access
Gong Assistant works with the data a team member has permission to access, including calls, emails, accounts, deals, and libraries. Review that access in the permission profile assigned to the team member.
To review a team member's data access:
From the left sidebar, click Admin center.
In the Settings tab, click Permission profiles under the People card.
Select the permission profile assigned to the team member.
Review the access settings for calls, emails, accounts, deals, and libraries.
Tip: To learn what each setting controls, see Available permission settings.
Note:
For account or deal analysis, Gong Assistant can also use emails Gong captured for that account or deal. Which emails are available depends on your company's email capture settings and on the team member's access.
Step 3: Set the Gong Assistant permissions
The Gong Assistant section of a permission profile controls which capabilities team members with that profile can use in the assistant. To create or change a profile, see Set up a permission profile.
To set the Gong Assistant permissions:
From the left sidebar, click Admin center.
In the Settings tab, click Permission profiles under the People card.
Select the permission profile you want to change.
In the Gong Assistant section, choose which capabilities to allow:
Build assets: Generate Gong assets like scorecards.
Create documents: Generate documents.
Save your changes to the profile.
Tip:
To see how team members use these capabilities, see Create documents and Gong assets with Gong Assistant.
Step 4: Set the permission for the asset type
Building a specific Gong asset also requires the permission for that asset type, in addition to Build assets. A scorecard, for example, also needs Manage Scorecards and Trainings.
To set the permission for an asset type:
From the left sidebar, click Admin center.
In the Settings tab, click Permission profiles under the People card.
Select the permission profile you want to change.
Find the permission for the asset type the team member will build. For a scorecard, find Manage Scorecards and Trainings.
Enable the permission.
Save your changes to the profile.
