About account-based permissions

Who can use this: Tech admin

Available on: Any Gong plan

Where to go: Admin center > Settings > People > Permission profiles

Account-based permissions let you restrict which accounts and contacts team members can access, based on CRM ownership and account teams, so you can limit who sees an account or contact across teams. You can also give them access to the calls and emails associated with those accounts, so people working on an account get fuller customer context without changing access for everyone else. You set both in a permission profile.

Account access

In the Accounts and contacts section of a profile, choose which accounts team members can access. They can access the contacts that belong to those accounts too.

  • All accounts: Access to all accounts and contacts in Gong

  • Assigned accounts: Access to the accounts they own or are on the account team for in your CRM, and the accounts their direct and indirect reports can access

  • None: No access to any account, set by turning off the toggle for the section

How Assigned accounts works

Assigned accounts gives a team member access to an account if any of these is true:

  • CRM account owner: They own the account in your CRM.

  • CRM account team: They are on the account team in Salesforce.

  • Direct and indirect reports: People who report to them, directly or indirectly, can access the account, based on the company hierarchy defined in Gong.

If your CRM isn't Salesforce, access is based on account ownership only. If your company uses Salesforce but Gong doesn't have Account Team data, the profile shows a warning. To fix it, set up the Account Teams standard object in your CRM and import it to Gong.

Calls and emails associated with accounts

Account access alone doesn't change which calls and emails a team member can open. To add access to the calls and emails associated with their accounts, select these options under Account-based access:

  • Calls associated with accounts that are accessible to them: In the Calls section of the profile

  • Emails associated with accounts that are accessible to them: In the Emails section of the profile

Each option applies only when access to calls or emails is turned on for the profile. The options add to the access team members already have, so they keep access to calls and emails they participated in, that someone shared with them, or that other permission settings give them. If you leave an option cleared, nothing changes.

Team members get this access only for the accounts they can access, so set account access first. With All accounts, the options cover every account. With None, they give no access.

What team members see

If team members search for an account or contact they don't have access to, they will have limited access across Gong to the account data. Depending on their settings in their permission profile, they may not be able to see calls and emails associated with those accounts and contacts.

What happens when you change account access

Assigned accounts takes a few hours to take effect. Until then, team members keep access to all accounts. Gong emails you when it's done.

What account access doesn't cover

Account access doesn't grant access to deals. You set deal access separately under Access to deals in the permission profile.
