Use variables to auto-populate details about you and the people you're contacting in your templates and flow emails. Variables can represent people's names, company names, phone numbers, scheduling links and more. In addition to the built-in variables you get from Gong, admins can also create variables from CRM fields for your team to use.

Adding variables to templates and flow emails

  • Add variables to the subject: Click the subject field and the Add Variable button will appear. Click the button and the variable menu will be displayed.

  • Add variables to the message body: Click the Add Variable button in the toolbar along the bottom and the variable menu will be displayed.

Tip

Variables in Gong are grouped the same way they're grouped in your CRM. To avoid errors, use templates with variables that align with the person you're reaching out to. For example, if you're emailing a lead, make sure you're using the "Lead First Name" variable instead of the "Contact First Name" variable.

Types of variables you can use in templates and flow emails

Variables make it easy to personalize the messages you send and call scripts you use. Key info like the recipient’s names, meeting titles, and call recording links are included automatically.

There are numerous built-in variables that Gong provides, as listed in the table below. 

In addition to these built-in variables, admins can also create variables from CRM fields that are imported to Gong to suit your organization’s needs. To create a variable from a CRM field, contact your admin.

Note

Variables in templates are only populated when the email composer is first loaded, meaning that if you change the template selection or recipients after opening the composer, the variables won't repopulate automatically.

Variable description

Recipient first name

Displays the first names of the recipients in the "To" field. Displays up to 3 recipients by name (Sarah, John and Mike). For 4 and more recipients, displays only the first name of the first person in the “To” field.

Recipient last name

Displays the last names of the recipients in the "To" field.

Recipient phone number

Displays the phone numbers of the recipients in the "To" field.

Sender first name

Displays the first name of the person in the “From” field.

Sender last name

Displays the last name of the person in the “From” field.

Sender job title

Displays the job title of the person in the "From" field.

Sender company name

Displays the company name of the person in the "From" field.

Sender phone number

Displays the phone number of the person in the "From" field.

Meeting title

Displays the title of the meeting that triggered this email.

Meeting date

Displays the date of the meeting that triggered this email. When relevant, date is preceded by “yesterday,” “today,” and “tomorrow”.

Meeting hour

Displays the hour of the meeting, in AM/PM time format, that triggered this email.

Recording link

Displays the link to the recording that triggered this email.

Email subject

Displays the subject of the email that triggered this email.

Recipient job title

Displays the job title of the person in the “To” field.

Recipient company name

Displays the company name of the person in the “To” field.

Primary scheduling link

Displays the sender's primary scheduling link, as set up by the sender in My Settings

Using conditional variables

Conditional variables say "if the specified condition is true, then use this language". Conditional variables can be found in the 'Conditionals' tab of the variable menu.

For instance, you can set up a conditional variable to say something like "if there is no company name, then say ___". With these variables, you can tell the email composer how to proceed if a statement is true or false. Once you've added a conditional variable statement, you can select variables for each part of the statement and add free text between blue tags. Let's look at an example below:

This statement says that if there's a company name available, then say "I'd love to hear about the culture at [recipient company name]". If not, then say "Where are you working these days?"

Using scheduling link variables

Keep your scheduling links updated in Gong so that they’ll populate accordingly wherever a scheduling link variable is used in one of your emails. You can update your scheduling links in My Settings.

Add them to your template or flow email the same way you would add any other variable.

Missing variables

If you try to send an email with a missing variable, we'll warn you before sending. The same applies for auto-emails sent through flows. If there are values missing for variables, the email will become a regular email step that appears on your list of to-dos for you to send manually.

Variables that appear in purple are meant to populate automatically, meaning the person working on the email shouldn't have to do anything before sending. This is different from placeholders, which appear as text between curly brackets, intended for the person sending the email to replace before the email goes out.

If there's still text between curly brackets when you go to send an email, we'll warn you before sending.
