The Gong consent page enables meeting participants to give their consent to be recorded before they join your meeting, helping you to comply with privacy regulations.

How it works

Your org uses a web conferencing system to support video calls. When scheduling a meeting, you typically create an event which you associate with the web conferencing system before inviting participants.

If your org enabled the Gong consent page to gain participant consent to be recorded before recording a call, you need to use a link to the Gong consent page instead of the web conferencing system's meeting URL. This directs invitees to the meeting via the consent page.

Note:

If your call is not going to be recorded (for example, if you set the call as private), then the consent page will not appear before the call.

What you need to know

Depending on your org setup, there are several ways to get the link to the Gong consent page into your meeting invite. Your Gong tech admin can tell you how the consent page is set up in your org, and how to set up a meeting with the consent page. Note the following:

  • Which web conferencing system your org is using with the Gong consent page

    If your org uses more than one web conferencing system, make sure you set up meetings using the one with which the Gong consent page is configured. If your org uses the Gong calendar add-in, then use the add-in instead of the web conferencing system. More on this in next bullet.

  • Whether or not your org uses the Gong calendar add-in

    If your org uses the Gong calendar add-in, use the add-in to insert the link to the consent page into the meeting invite. This link is automatically set up to redirect participants to your web conferencing system.

  • Whether or not you can use your personal meeting room link

    For Zoom, GoToMeeting, and Webex, the web conferencing meeting links are automatically associated with your personal consent page link. This means you can use your personal consent page link in the meeting invitation. When invitees click on this link, they'll be taken to the meeting via the Gong consent page.

    For all other web conferencing systems, you need to perform a one-time setup to manually associate your personal consent page link with your web conferencing provider. More on this immediately below.

Locating your personal consent page link

When the Gong consent page is enabled, you'll have a personal consent page link. To see it, go to My profile and look in the Recording settings area.

You can customize part of this link (usually your name).

Manually associate your web conferencing provider and your personal consent page link

If you're not using Zoom, GoToMeeting, or Webex, you'll need to perform a one-time setup that manually connects your personal consent page link with the personal meeting room link from your web conferencing provider.

  1. In your web conferencing provider app, locate and copy the link to your personal meeting room.

    Typically, this can be found on your profile page.

  2. In Gong, go to My profile and look in the Recording settings area.

  3. Paste your personal meeting room link below Add your web conferencing personal meeting room link.

  4. Click Update.

    Your personal meeting room link is now associated with your personal Gong consent page link.

Using your personal consent page link

Use your personal consent page link in all meeting invitations that you send out when you schedule a meeting.

Paste the link in your meeting invites instead of your web conferencing provider's meeting room link. There's no need to include dial-in numbers in the invite; your invitees will get them once they consent to be recorded.
