Save time and keep user data up-to-date and accurate with bulk user update which enables you to update several users at one time by uploading a CSV file. This is especially useful when changes at your company affect a large number of Gong users, for example new company email addresses or additional hierarchies.

Updating multiple team members at once

  1. Click Company settings > Team members.

  2. Click more_menu.pngin the top right corner and select Bulk update team members.

  3. From the popup that opens, click Download the CSV template. This CSV contains all of the fields you can edit via bulk upload.

  4. The first column in the file is the primary email address. This field must be filled in for all users that you want to update.

  5. Fill in the values for users who you want to update. Values you fill in will replace any existing values in Gong. So, for example, if you enter a mobile number, the new number will replace the one that’s currently in Gong.

    If you want to allow for multiple values in a field (for example, in the additional email address field, separate each value with a comma.

  6. In fields that can have multiple values (for example, additional email addresses), the value you provide in the new CSV will override existing values. If you want to keep the existing value and add additional ones, include both the existing value and new values in the CSV and separate the values with commas.

  7. Regarding empty fields: When you go to upload the updated CSV, you'll be able to choose whether or not we ignore empty fields in the new file.

    1. By default, we'll ignore cells that are empty in the CSV. If there are current attributes for these cells in Gong, we'll leave them as they are.

    2. If you select the mark the checkbox beside Delete existing values for empty cells that's what we'll do. Attributes in Gong for fields that are left empty in the CSV file will be deleted.

  8. Once you’ve entered the info you want to update in the CSV, you’re ready to upload the file.

  9. Repeat steps 1 and 2 to open the Bulk update team member popup.

  10. Upload the updated CSV and we’ll validate the file. This may take a few moments, since we check that the values are provided in the required format. For example, that email addresses are phrased correctly, phone numbers contain only numbers, and more.

  11. If validation fails for any of the fields, you’ll see an error message citing which column and row couldn’t be validated, and why. Update the file accordingly and upload again.

  12. Once all changes in the file are validated, you’ll see a summary of the changes. If everything looks good, click Apply.

  13. A message appears indicating that the changes are underway. When they’re complete, you’ll receive an email confirming the changes.

Columns in the CSV template

The CSV you download includes the following columns. We recommend deleting the ones you don’t want to update. If you keep columns that you don’t want updated, we’ll ignore those columns, unless you mark “Delete empty columns” in which case we’ll delete existing content for those columns.

  • Email address (Required and can’t be left empty): This is the unique identifier for each user. Fill in the email addresses of the team members you want to edit, exactly as they appear in Gong.

  • First name: If you’ve selected “Delete existing values for empty cells” and you keep this column in the file, it must be filled. If you haven’t selected to delete existing values for empty cells the field can be left empty, and we’ll ignore it.

  • Last name: If you’ve selected “Delete existing values for empty cells” and you keep this column in the file, it must be filled. If you haven’t selected to delete existing values for empty cells the field can be left empty, and we’ll ignore it.

  • New email address: Only keep this column if you’re replacing the user’s primary email address. If you’re adding email addresses, use the “Additional email addresses” column. (Can’t be empty if Delete empty columns is selected.)

  • Additional email addresses: Enter additional email addresses, separated by a comma.

  • Trusted email address: This column appears if there’s a trusted authentication account. For more info, see this. To enable this user to access this account through their other Gong user (their trusted account), enter the trusted account email.

  • Phone number

  • Extension

  • Mobile number

  • Time zone: If you’ve selected “Delete existing values for empty cells” and you keep this column in the file, it must be filled. If you haven’t selected to delete existing values for empty cells the field can be left empty, and we’ll ignore it.

  • Locale: Use the following format: en-US

  • Job Title

  • Manager email address

  • Languages spoken during calls: Enter languages, separated by a comma

  • Custom hierarchies: Columns will be created for each custom hierarchy, with the field name as the column name. For example, Hierarchy 'City office' manager email address, Hierarchy 'Divisions' manager email address.

FAQs

Can I bulk update users if my company uses automatic provisioning?

Bulk update users is a manual update. If it conflicts with automatically provisioned users, it will fail.

Can I update custom fields with automatic provisioning?

Yes

Can I bulk update data capture settings this way?

No, not at the moment. But some settings (for example, email import and web conference recording settings) can be updated for teams via Team settings. For more, see Change settings for a team.

Can I add or remove users this way?

No, not at the moment.

Are there any mandatory columns for the updated CSV?

Yes, the email address column is required, as that's the way we identify the team member.
