Company-wide settings for recording conversations can be configured, with individual team members' settings taking precedence when different. Options include choosing which meetings to record, whether to record internal web conference calls, recording video or audio only, and stopping recording when no internal participant is present. Internal domains must be defined for data protection. The name of the recording bot can be selected, and a threshold length for processed calls can be set. Minimum call length is 30 seconds.

You can configure company-wide settings for which conversations should be recorded. When an individual team member's settings differ from the company's settings, the individual settings are used for that team member.

  1. Click Company settings > Data capture > Recording settings.

  2. In the Web conference calls area, answer the following questions:

    • Which meetings should be recorded?

      Choose between only recording calls hosted by a team member whose calls are recorded or recording calls where at least one participant's calls are recorded.

    • Should Gong record internal web conference calls?

      Calls with participants external to the company are recorded. Here you can choose whether to record all internal calls, or only calls where at least one participant is external to the company.

      Make sure your internal domains are defined in the Data protection & privacy page.

    • Should Gong record video?

      Choose between recording audio and video, or audio only.

    • Should Gong record when no internal participant is present?

      Toggle on if you want to stop recording when no internal participant is in the meeting, either because they didn't join, or because the last internal participant left. Note that in rare cases, Gong may not successfully identify an internal participant, and may stop recording even when somebody internal was present. This is because the participant name and the Gong user name must have an exact match in order for Gong to recognize the participant as internal.

  3. Select the name of the recording bot.

    This is the "participant" name of the recording bot, seen by all participants, of the call. It lets participants know they are being recorded. Choose one of the following:

    • Recorder

    • Recorder by Gong

    • Notetaker

    • Gong recorder

  4. In the All calls area, enter the threshold length for calls that should be processed.

    This setting affects calls recorded using web conferencing and those imported from telephony providers.

    Note:

    The minimum length is 30 seconds.

  5. Click UPDATE to save your changes.
