Any Gong plan*
In addition to company wide settings, each team member has settings which determine whether their calls are automatically recorded or not. You can which calls and emails are recorded and imported to Gong in the My settings page. Contact your tech admin if you aren’t set up to have your calls recorded.
Get consent to record calls
Your tech admin may have set Gong up to display a consent page before a participant joins a meeting. This lets participants give consent to being recorded before they join your meeting, helping you to comply with privacy regulations.
How recording consent works
Your Gong tech admin may have configured a consent profile which manages how meeting participants can consent to being recorded. The consent profile configuration includes the following options:
Pre-call email. Sending an email 10 minutes prior to the meeting reminding the participant that the meeting is due to start and that it will be recorded
Consent page. Displaying a consent page before the participant joins the meeting where they can give explicit consent to being recorded
Audio prompt. Playing an audio message when a participant joins the meeting announcing that the call is being recorded
The settings in the consent profile are set by your tech admin and apply to all calls. You can’t disable the settings for an individual call. Configuring the consent page display requires selecting a web conference provider it applies to, meaning that you should use the web conference provider configured in your consent profile to display the consent page. The web conference providers supported in Gong are:
Zoom
Google Meet
WebEx
Microsoft Teams
GoToMeeting
Amazon Chime
RingCentral Meetings
RingCentral Video
join.me
Uber Conference
Appointlet
If you use a non supported provider or a provider not selected in your consent profile, Gong won’t be able to display the consent page. If your call is not going to be recorded (for example, if you set the call as private), then the consent page will not appear before the call.
Identify the web conference provider
You can see which web conference provider is set to display the consent page in your Gong profile. Scroll down to the Recording consent section to see the details.
Meeting link types
There are two types of links that you can use to create meetings that display the consent page.
Dynamic meeting links. Every meeting has a unique link.
Static meeting links. Every meeting has the same link.
The consent profile settings include whether the meeting link must be dynamic, static or whether the host can choose which type of link to use in the meeting.
When the consent profile is set to let you choose which type of link, your Gong profile includes details of your dynamic and static meeting links. When the consent profile allows only one type of link, your profile displays either the dynamic or static link details.
Adding a meeting link
The Gong add-on for either Google Workspace or Outlook enables you to add a Gong meeting link to meetings. When the consent page is enabled in the consent profile, this link is configured so that it first displays the consent page and then starts or opens the meeting. This add-on must be installed to create dynamic meeting links and can simplify adding a static meeting link. Your tech admin may have installed this for all Gong users.
Determine if the add-on is installed by going to Gong for Google Workspace or to Gong for Outlook where you will have an option to install the app if it’s not installed.
To install the Gong add-on for Google Workspace:
In the Gong for Google Workspace page, click Install.
In the permissions confirmation window, click Continue.
In the next window, choose your Google account.
In the access window, click Allow. The add-on is installed.
To install the Gong add-in for Outlook:
There are two Gong add-ins for Outlook. If you are an Engage user, install the Gong Anywhere Outlook Add-in, which includes creating links for meetings.
If you aren’t an Engage user:
In the Gong for Outlook page, click Get it now.
In the terms confirmation window, click CONTINUE.
Gong for Outlook is added to your account.
To get started with the add-in, click Open in Outlook Web, and open your calendar.
Click New event to create a new meeting.
In the three dots menu in the actions bar, click Get add-ins.
Locate Gong for Outlook and on the Gong for Outlook page, click Add.
After the add-in is added, close the add-in windows to return to your event.
Check the Gong for Outlook add-in now appears in your event actions bar.
Add a static meeting link
Your web conference provider app may include a personal meeting room, or a link which never changes and always opens a meeting with you.
If you use GoToMeeting, Webex, or Zoom, Gong can automatically create a static meeting link that will display the consent page before redirecting to a personal meeting room.
For other supported providers, add your personal meeting room link to your Gong profile:
In your web conferencing provider app, locate and copy the link to your personal meeting room. Typically, this can be found on your profile page.
In Gong, go to My profile and scroll down to the Recording settings area.
In Personal meeting room link, paste your personal meeting room link.
Click Update. When you use the static link in a meeting, the consent page will automatically be displayed.
