The call you want to share

Sharing calls with colleagues is a great way to collaborate, ask for feedback, consult about something raised in a call, and more. Sharing calls with customers is good practice in follow-up emails, and tracking when customers share calls onwards can be a solid indicator that a deal is moving forward.

Where to go: To the call you want to share

1. Click Share call at the top right of the call page.

   

   1. Choose Share internally to share with people at your company who use Gong.

   2. Click Share with customers to share with customers, prospects, or people at your company who don’t use Gong.

   3. Embed call gives you an embeddable link that can be viewed by people at your company who use Gong.

      Note:

      You can share calls while they are still processing. Schedule an email that will be sent when the call is ready, or send a link that gives access to the call when it’s ready.

Share a call snippet

To share a snippet, click on the call player, select the part of the call you want to share, and click Share internally or Share with customers.

You can also select text in the transcript to open an inline menu. From here, click and choose Internally or With customers. Learn more about snippets

Share internally

Share calls via email or Slack with people at your company who use Gong, and they’ll get a link to the call that is accessible in Gong. If the call is shared in Slack, recipients see an AI-generated call brief in the Slack message.

• Share via email: Enter the person's name or email address.

  Note:

  Sharing by email gives recipients access to the call if they didn’t already have it.

• Share via Slack: Choose a channel.

  Note:

  To share via Slack, your Gong account needs to be connected to Slack. To share in a private channel, Gong must be invited to that channel.

Share with customers

Share calls with customers, prospects, and people at your company who don’t use Gong by copying a link, or sending an email with a link.

When you share calls this way, recipients get a link to a dedicated call page that includes:

• The call recording

• Call details

• Gong AI summaries (optional)

Edit link settings

If enabled by your admin, click Edit to update the link settings, and customize the following:

Share access

• Once you've shared a call, you can extend access to it as many times as you like via the Shares & Views panel in the call page.

• Your admin sets the limit for how long access can be extended for (maximum 100 days).

Call privacy

If enabled by your admin, define who can access the call. Options include:

• Anyone with the link

• Require people to identify themselves via Google or LinkedIn

• Only people specified

AI Summaries

If enabled by your admin, you can include Gong AI summaries when you share full calls with customers. AI summaries aren’t available with snippets.

What customers see if you include AI summaries:

• Highlights: A one-paragraph call brief, a bulleted summary of key points, and next steps.

• Outline: A breakdown of the call into sections that can be reached in the call or  transcript.  

• Searchable call transcript.

• Call info: Includes title, time, and participant names

• Video: Below this, customers see who spoke, when, and for how long.

• Slides: If slides were presented in the call, they are visible.

• Meeting chat: If there was a chat during the call, it’s visible here.

What customers see if you don’t include AI summaries:

• Searchable call transcript.

• Call info: Includes title, time, and participant names

• Video: Below this, customers see who spoke, when, and for how long.

• Slides: If slides were presented in the call, they are visible.

• Meeting chat: If there was a chat during the call, it’s visible here.

Share an embed link

Click on the Copy link button and click Copy embed link to get a link for embedding in customer-facing apps. This link gives access to the call player, without any transcript or summaries, to customers, prospects, or anyone at your company not using Gong.

Cancel or extend access to a call you've shared

To cancel or extend access to a shared call:

1. Go to the call page.

2. Click Shares & Views.

3. Click the edit icon beside the link you want to change access to.

From here, either cancel or extend access to the shared call.

You can also cancel access via Share Call > Cancel sharing with customers. This cancels access to all links that were shared to the call.

See who's viewed a call

Notifications

When a customer views a call, the person who shared the call gets an email, and the view is logged on the call page via the Shares & Views tab on the right panel. From here, you see how many times a call was shared with customers, and information about each share.

• Shares & Views is only available for calls shared with customers.

• If the call was viewed, click on the entry to get more details.

• If the call was shared via Share with Customers > Share via email, hover over the bold "# person" text to see who the call was shared with.

• Click on a view instance to open the call to the point in the call where the viewer started listening. Hover over the view details to highlight snippets of the call that were listened to in the call timeline.

About call views

• Views for each share, via email or link, are tracked separately. If you share the same call multiple times, each share has its own view record.

• If you share a call via email and don't require the viewer to identify themselves, every time that link is used it is logged as if the email recipient viewed the call, even if they forwarded it to someone else.

• If a link or embed link is shared, we tell you that the link was generated and how many times it was used. If access requires viewers to identify themselves, we’ll tell you who accessed the link.
