Your team communicates with a variety of organizations and individuals, and you don’t want to import their entire communication history into Gong.
That’s why it’s important to exclude emails that aren’t relevant when you set up Gong. For example, emails that team members send to themselves (these may be private emails), emails that are sent / received by HR (again, these may be private emails, so we only import ones in which there is a match between the recipient / sender email address, and the contact / lead in the CRM), or emails that come from public email domains and are likely not relevant to your business.
Controlling imported emails is particularly important when these contacts are customers, prospects, or have accounts in your CRM. In these cases, you need to control which emails you exclude and which to include.
To customize which emails are excluded from Gong, go to Company settings > Data protection & privacy > Email import exclude list. From here, you can customize which domains and email addresses will be excluded from import, as well as which words in the subject will be excluded.
Gong adds default terms to the list of excluded domains, addresses and words in email subjects. For the full list, see Default terms in exclude lists. To customize any of these fields, click EDIT and enter the term you want to exclude. Enter each term on a separate line, or separated by a comma.
Domains
Enter specific domains that you want to exclude from import.
Exclude emails from public email domains
If you’re a B2B company that communicates exclusively with work emails, you may want to exclude all addresses from public email domains. Such emails may be irrelevant for your business, and add unwanted volume to the emails you import. In this case, select Exclude emails from public email domains and we’ll exclude more than 150 public emails domains.
Note
If this option is checked, any emails from these domains that were already imported will be deleted.

Specific email addresses
Here you can enter specific email addresses that you want to exclude.
Words in email subject
Enter words or phrases that, if they appear in the email subject, you want excluded from import. Phrases can have one or more words, and will match “as-is” with a phrase found in the subject. This field is not case sensitive.
For example, if you enter please ignore, Gong will not import emails with the following subjects:

However, we will import emails with the following subjects:

Please look into this

Please do not ignore
Click Save.

We only scan the subject and address lines, not the text of the message.
