In order to share calls with customers, you must enable sharing calls on the company level in the Data protection and privacy page. Once sharing calls with customers is enabled on the company level, team members must have permission to share calls in their permission profile.

These settings apply after calls are captured and determine visibility and access, not whether calls are recorded.

Share calls with customers

External call sharing lets Gong users share recorded calls with people outside the company, such as customers or partners.

To configure external call sharing:

  1. Go to Admin center > Settings > Data capture > Data protection & privacy.

  2. Scroll to Share calls outside your company and click Edit.

  3. Enter the following:    

    1. Default access period: The default number of days the person outside the company will be able to open the link.

    2. Access can be extended for up to: The number of days the access period can be extended for.

    3. Choose who can access the call:        

      1. Anyone with the link can access the call: Select whether you Require identification to enable access.

      2. Restricted: Only specific people can access the call: Team members must specify who can access the call when sharing it.

    4. Check Includes call spotlight if you want to include AI summaries when sharing a call. AI summaries can only be shared for the entire call and not for snippets.

Share folders internally

Sharing folders lets colleagues collaborate and demonstrate best practices, objection handling, new messaging, and more.

Sharing folders must be enabled on a company level, and team members must also have permission to share folders in their permission profile.

Once set up, all calls in a shared folder are accessible to anyone who has access to the folder, regardless of their individual permissions to the calls in the folder.

Team members don’t have access to calls in a shared folder if they are:

  • Private calls

  • Streams

To enable sharing folders:

  1. Scroll down to Share folders within <company name> and click EDIT.

  2. Check Give access to calls in shared folders.
