Who can use this: Any team member
Available on: Gong Engage
Ideal for: Sales rep, Sales manager
Prompts let you save AI instructions as reusable templates. When used, Gong generates a complete email, including the subject and body. Prompts can be used for one-off emails and flow steps, including automated email steps.
Use prompts when you want Gong's AI to write the entire email based on your instructions and available context. This is different from inline prompts, which generate text within an existing email template, such as a paragraph, bullet points, or a short personalized section.
You can create, edit, duplicate, delete, and organize them using the same permissions and folders as regular templates. Team members without permission to create prompts can still use saved prompts.
How prompts work
When a prompt runs, Gong uses your prompt instructions along with Gong context, such as calls and emails related to the account, to generate an email subject and body.
Always review AI-generated content before sending.
Note on email signatures
Gong AI does not generate a signature as part of the email body. Instead, Gong automatically attaches the signature you have configured in your signature settings. Do not include signature instructions (ex: "Sign off with my name") in your prompt.
How to create a saved prompt
From the left sidebar, click Assets, and select Content templates.
Click +New > New prompt
Enter a name for the prompt
Write your prompt instructions in the editor
(Optional) Add field placeholders to reference the contact, account, or sender
Click Preview to test the prompt
Click Save
Your prompt is now available for use when sending a one-off email or creating a flow step.
How to preview a prompt
Preview lets you test how your prompt performs before using it.
Open the prompt
Click Preview
Select a contact, account, call, and deal if relevant
Review the generated email
Preview shows an example of what Gong can generate using the available context at that moment. Because AI generation is non-deterministic, the final output may differ slightly when the prompt runs later.
How to use a prompt in a one-off email
Open the email composer by hovering over someone's name and clicking the email icon, or
Go to To-dos and click Write email next to an email to-do, or
Go to People > Email icon, or
Go to a call page and click Generate follow-up emailClick Templates
Filter to Prompts and select a prompt
Wait for Gong to generate the email subject and body.
After generation, you can edit the email normally. Editing the generated email does not change the underlying prompt.
How to use a prompt in a flow step
Use prompts when building email steps in flows to automatically generate personalized emails.
There are two ways to use prompts in flows:
1. Use a saved template. Select an existing saved prompt when configuring the email step. The system generates the email subject and body for the relevant contact or lead when the step runs.
2. Write a prompt directly in the flow step. Enter your prompt while configuring the step. This prompt is only used for that step, it isn't saved for reuse. Use prompts for manual email steps and auto email steps. Prompts are not supported for reply email steps, only new threads.
Best practices for using prompts
Prompt quality strongly affects the quality of generated emails. Keep in mind that if the selected contact has no Gong data, such as calls or emails, personalization may be limited.
Only use prompts in auto email steps if there is existing Gong data for the recipient, such as multiple recorded calls and emails. The AI primarily pulls context from these interactions, meaning a lack of data will result in a generic outbound message.
Use a single language when defining your prompts. This is crucial because using multiple languages can lead to unpredictable output, potentially generating content in an unintended language.
Be clear about the prompt's goal. Tell Gong exactly what the email should accomplish.
Example: Write a follow-up email after a discovery call.
Specify what the email should include and describe the structure you want.
Example:
A short subject line
A personalized opening
Two key takeaways
A clear call to action
Define the tone and how the message should sound.
Example tones:
Professional and concise
Friendly and conversational
Confident but not pushy
Avoid instructions that apply only to one situation. Instead, use field placeholders to insert information about the contact or account dynamically.
Don't include sign-offs. Avoid ending your prompt with instructions like "Best, [Name]" or "Sincerely" as Gong will append your email signature based on what you've configured in your email signature settings.
Example prompts
Pain points
Search our recent Gong calls with {{recipient.first_name}} at {{recipient.company_name}} to identify the top three pain points discussed with this account to date. Use the Gong context to identify a relevant customer goal, challenge, or initiative connected to those pain points.
Write a punchy subject line mentioning one of their specific goals from a Gong transcript.
Structure the email body using the following framework: hook, bridge, value, CTA
Hook: start with a personalized opening referencing a recent conversation, priority, or business initiative mentioned in Gong context
Bridge: summarize the recipient's top pain point based on Gong context and connect it to the opening
Value: clearly explain how our solution addresses the identified pain point
CTA: end with a clear and concise call to action
Tone: clean, professional.
Follow-up email
Write a follow-up email to {{recipient.first_name}} after our recent conversation.
The email should:
thank them for their time
summarize the main priorities discussed
include the next step if available
end with a simple call to action
Tone: professional, friendly, concise.
Prospecting email
Write a short prospecting email to {{recipient.first_name}} at {{account.Name}}.
The email should:
Open with a clear reason for reaching out
Reference a common business challenge relevant to the recipient's role or industry
Be under 120 words
Include a simple meeting ask
Tone: direct, helpful, not overly sales-focused.
Re-engagement email
Write a re-engagement email to {{recipient.first_name}}.
The email should:
acknowledge that it has been a while
reconnect to the last conversation or priority
offer a reason to reconnect now
ask for a short follow-up meeting
Tone: polite, confident, concise.
FAQs
Where can I use prompts?
Prompts can be used when writing one-off emails in the email composer and when building flow steps.
Will the generated email always be the same every time the prompt is used?
No. AI-generated content may vary each time it is generated. Prompts generate emails using the context available at the time of generation. If the available context changes, the generated content may also change.
Can prompts research information online?
No. Online research is currently disabled due to inconsistent and unpredictable results. In some cases, generated content may still reference general company or industry information. This comes from the model's training data, not from live online research.
Do I need to review the generated email before sending?
Yes, except for auto emails, which are sent out automatically.. While we do our best to ensure the information provided by AI is accurate, we cannot guarantee that it will not hallucinate. Always review AI-generated emails to ensure the content is accurate and appropriate before sending.
What happens if the prompt fails to generate?
If the prompt fails to generate content, you'll see an error message and can edit the email manually. For auto emails, the step is converted into a manual email.
