Manage smart trackers

Smart trackers analyze conversations to track key concepts. You can pause, republish, edit, unpublish, or delete trackers from the AI Tracker settings page, depending on what you want to achieve.

View and customize the trackers table

Use the AI Tracker settings page to review, filter, and manage all trackers in your workspace. From here, you can customize the trackers table, download usage reports, edit trackers, pause, unpublish or delete trackers as needed.

The table gives you a clear view of all trackers in your workspace, making it easy to review details, filter by type, and customize the information you see.

To view and customize the trackers table:

  1. From the left sidebar, click Admin center, and select Agent Studio.

  2. Hover over AI Tracker and click Settings.

  3. Use the tabs to filter the trackers you want to view:

    • All

    • Custom: Trackers created by your company

    • By Gong: Pre-trained smart trackers created by Gong

    • Keyword: Trackers that use keyword detection

  4. Click Manage columns to select the information you want to display:

    • Question

    • Description

    • Examples

    • Keywords

    • Type

    • Status

    • Filters

    • Last modified

    • Data since

  1. Click the More actions Action Menu.svg icon, and select Download smart tracker usage report, if you want to review how smart trackers are being used accross your workspace.

Pause a smart tracker

Pausing is the recommended way to stop a smart tracker analyzing new conversations, and consuming credits. Paused trackers remain fully configured so you can republish it at any time.

Unlike unpublishing, pausing doesn't require you to remove the tracker from deal boards, scorecards, playbooks, streams, or other assets.

Smart trackers can be paused in one of the following ways:

  • Manually paused: You pause the tracker from the AI Tracker setting page or the Edit Smart tracker page.

  • Paused due to insufficient credits: Gong automatically pauses published trackers when your company runs out of credits.

To pause a smart tracker:

  1. From the left sidebar, click Admin center, and select Agent Studio.

  2. Hover over AI Tracker, and click Settings.

  3. Locate the tracker you want to pause.

  4. Click the More actions icon Action Menu.svg and select Pause.

    Note:

    You can also pause a tracker from the Edit Smart tracker page.

  5. Review the confirmation message, and click Pause.

The tracker's status changes to Paused. The tracker remains visible throughout Gong and can be republished at any time.

Republish a paused smart tracker

Republish a paused tracker when you're ready for it to resume analyzing conversations. Republished trackers keep the same configuration they had before they were paused.

When your company's credit balance reaches zero, published question-based smart trackers are automatically paused. After additional credits are purchased, paused trackers must be republished before they resume analyzing conversations. If the tracker was paused because your company ran out of credits, make sure additional credits are available before republishing.

To republish a smart tracker:

  1. From the left sidebar, click Admin center, and select Agent Studio.

  2. Hover over AI Tracker and click Settings.

  3. Locate the tracker you want to republish. Paused trackers are marked with the status Paused, but will have a different icon depending on why it was paused:

    • Pause icon: Tracker was manually paused

    • Credit icon: Tracker was paused due to insufficient credit.

  5. Choose how far back you want to apply the tracker.

    Tip;

    Select the date the tracker was paused if you want Gong to analyze conversations that were missed while the tracker was paused.

  6. Review the estimated credit consumption and click Republish.

Edit a smart tracker

Edit a smart tracker to update its question, filters, examples, or other settings.

To edit a smart tracker:

  1. From the left sidebar, click Admin center, and select Agent Studio.

  2. Hover over AI Tracker and click Settings.

  3. Locate the tracker you want to edit.

  4. Click More actions iconAction Menu.svg followed by Edit.

  5. Make changes, and preview them if needed.

  6. Click Publish changes.

Your changes are published and applied to future conversation analysis.

Unpublish or delete a smart tracker

Unpublish a smart tracker when you no longer want the tracker to be available, but may want to use it again later. Existing results are preserved and remain available if you republish the tracker in the future. If your goal is to stop a tracker from consuming credits while keeping it configured, we recommend pausing the tracker instead of unpublishing it.

Delete a smart tracker only when you're sure you no longer need the tracker. Deleting a tracker permanently removes it and its data.

To unpublish or delete a smart tracker:

  1. From the left sidebar, click Admin center, and select Agent Studio.

  2. Hover over AI Tracker and click Settings.

  3. Locate the tracker you want to unpublish or delete.

  4. Click More actions iconAction Menu.svg, and choose one of the following:

    1. Unpublish: Review the confirmation dialog and click Unpublish.

    2. Delete: Review the confirmation dialog and click Delete. If you delete the tracker, the action can't be undone.

Unpublish tracker

If you choose to unpublish a a smart tracker:  

  • If the tracker is being used in an asset that doesn't support unpublished trackers, such as a deal board or playbook, you'll see a link to the relevant asset so you can remove the tracker before continuing.

  • If the tracker is being used in a stream, the stream is listed for your awareness. Once the tracker is unpublished, the stream is marked as Interrupted so the stream owner can see why it stopped running.
