Return to a flow to rework its content or change its step timing, and move flows between folders to keep your library in order. What you can change inside a flow depends on whether people are already in it.

Edit a flow

A flow with no active or past contacts is fully open to changes, while a flow that has contacts locks its structure. Locking the structure keeps reporting accurate and prevents version confusion, so check which situation you are in before you start.

To edit a flow:

  1. From the left sidebar, click Assets, and select Flows.

  2. Click the flow you want to edit.

  3. Make your changes. What you can change depends on whether the flow has contacts:

    • No active or past contacts: You can add, delete, and reorder steps, change step types, and edit step content and timing.

    • Contacts in the flow: You can edit step content, update timing and delays, and modify assets within steps. Adding, deleting, and reordering steps is locked, and so is changing step types.

  4. Save the flow.

Note:

When a flow has active contacts or leads, a banner at the top of the flow editor explains the restrictions. If you have permission, the banner also includes a Duplicate flow option so you can make structural changes in a copy.

Note:

Gong detects when someone else updates a flow while you are viewing or editing it, and when new contacts are added to it. If a potential conflict is detected, you get a notification with options for managing your changes safely, so you do not overwrite a teammate's work or lose your own.

Attachments are part of a step's content, and you add them to an email step the same way whether you are building a flow or editing one. Learn more about creating a flow in Engage.

How edits reach people already in a flow

Edits apply only to steps whose to-do has not been generated yet:

  • Message updates show in scheduled or upcoming steps.

  • Timing changes apply only if the to-do does not exist yet.

For example, if a contact is already on step 3 and that to-do exists, updating step 3 does not reach them. If they have not reached step 3 yet, the update applies.

Auto emails use the latest content as long as the draft has not been created, which happens right before send time. Update the subject or body before then and the scheduled email goes out with the new content. Timing changes do not affect auto emails that are already scheduled for people who have reached that step.

Duplicate a flow

Duplicating gives you an independent copy, and it is how you make structural changes to a flow that already has contacts. There is no connection between the original and the duplicate. The original keeps its contacts and leads at their current step, and the duplicate starts with none, which is why its structure is open to changes.

To duplicate a flow:

  1. From the left sidebar, click Assets, and select Flows.

  2. Hover over the flow you want to duplicate, click the More actions icon, and select Duplicate.

  3. Choose the folder where you want the duplicated flow to live.

  4. Open the duplicated flow to edit it.

Note:

Gong does not move contacts or leads between flows. Whether you pause people in the original and add them to the duplicate is up to you.

Note:

If you duplicate a company flow and save it as your own personal flow, the automations that added people to the original do not carry over, because automations apply to company flows only.

Organize flows in folders

Folders group the flows in your library. You can move a flow to another folder of the same type at any time, and deleting a folder clears out everything inside it.

Move a flow to another folder

Moving works within a folder type, so a personal flow moves between folders in Your flows and a company flow moves between folders in Company Flows.

To move a flow to another folder:

  1. From the left sidebar, click Assets, and select Flows.

  2. Hover over the flow you want to move, click the More actions icon, and select Move.

  3. Choose the destination folder.

Note:

To move a personal flow into a company folder, or a company flow into a personal folder, use Duplicate instead.

Delete a folder

Delete a folder when you no longer need the flows it contains.

Warning:

Deleting a folder deletes the folder, all flows inside it, and all related to-dos. It removes all active contacts from those flows and stops any contact or lead starting a flow in that folder. All automations created for flows in that folder are deleted as well. Past activity remains in analytics.

To delete a folder:

  1. From the left sidebar, click Assets, and select Flows.

  2. Hover over the folder you want to delete, click the More actions icon, and select Delete.

  3. Type "delete" to confirm.

  4. (Optional) Select the Skip this message for the next 10 minutes checkbox.

  5. Click Delete folder.
