Email opt-out paths let you control how customers unsubscribe from emails, ensuring compliance with regional email regulations and privacy laws. Customize the unsubscribe footer and landing page for each region or language, and use rulesets and filters to decide which path applies to each flow.

Configure global opt-out enforcement

Set the company policy for which emails automatically display an opt-out footer.

  1. Go to Admin center > Gong Engage > Email settings.

  2. Scroll down to Opt-out footers for flow emails and turn on Display opt-out footers for all flow emails.

Create an Email opt-out path

An opt-out path consists of the email footer and the landing page a person sees after clicking the unsubscribe link.

  1. Go to Admin center > Engage > Email opt-out settings. On this page, you’ll see a default opt-out path provided by Gong and any custom paths you’ve created.

  2. Click + Add email opt-out path and select the language for the opt-out path is written in to create a new path or click an existing opt-out path to edit t.

  3. In the Email opt-out settings page, give the path a meaningful name (ex: “English” or “Spanish”).

Define the people this path applies to

You can dynamically assign opt-out paths by adding conditions based on CRM fields. When an email is sent, Gong checks the recipient against your filtered paths and delivers the correct one.

  1. In the People section, define the contacts and leads covered by this opt-out path.

  2. Click + Add filter for either Contacts or Leads and select the CRM field that contains the data you want to filter by.

  3. Add the value the CRM field needs in order to apply the opt-out path to this contact.

  4. Add as many filters as needed.. Select And if you want all filters to apply. For example, if you want the opt-out path to apply to contacts from a specific country and who work in a specific department. Select Or if only one of the filters selected should be true in order to use the opt-out path.

Customize the email footer

Edit the footer content. You can change fonts and sizes, and insert field placeholders.

  1. Scroll down to Opt-out footer content and select whether you want to use Gong’s opt-out link or your own.

  2. If you select Gong’s opt-out link, make sure the opt-out footer includes the {{unsubscribe}} field placeholder.

  3. Format the text as necessary.

  4. Select My own opt-out link if you prefer to include your own link in the opt-out footer. Make sure the opt-out link updates the correct CRM field that’s mapped to Gong in the Engage CRM setup. This field should be the one used to track opt-out status for leads and contacts. Gong is not responsible for managing or maintaining custom opt-out URLs or field updates.

  5. Click Preview footer to see how it appears in the email.

Customize the landing page

This section is only displayed if you use Gong’s opt-out link. It is the page that is displayed when clicking on the unsubscribe link in the footer.

  1. Scroll down to Opt-out landing page and edit the following:

    • Headline content

    • Email input placeholder

    • Opt-out button label

    • Success message

  2. Click Preview landing page to customize the page people see when they opt out.

  3. Click Save to save the opt-out path.

Manage your opt-out paths

You can create as many opt-out paths as you need.  

  1. Click Action Menu.svgfor a specific opt-out path and choose one of the actions available:

    1. Edit

    2. Preview, either the footer or the landing page.

    3. Set as default. The default opt-out path is applied to any person who does not match any of the filtered paths.

    4. Duplicate

    5. Delete

  2. Set priority: If a person matches multiple paths, the path positioned higher in the list of opt-out paths takes priority. Drag and drop paths to change their priority order.

Apply opt-out footers via rulesets

Use rulesets to control which footer appears in which situation.

  1. Go to Engage > Rulesets.

  2. Choose an existing ruleset or create a new one.

  3. In the Outbound emails section, choose whether to Display an opt-out footer or Don’t display an opt-out footer. If global enforcement is on, this will default to Display an opt-out footer and cannot be changed.

  4. Select which footer to apply:

    1. Dynamic opt-out footer. This automatically applies the correct filtered path based on the recipient's CRM data. If no filters match, it uses the main default path.

    2. Select opt-out footer. This overrides the dynamic logic and applies one specific footer to all emails sent using this ruleset.

Assign the ruleset and preview the path

Finally, apply the ruleset to a flow and test the result.

  1. Go to Engage > Flows, select a flow and go to Flow settings.

  2. Assign the ruleset that includes your selected opt-out footer and save your changes.

  3. Add a person to the flow to generate a new email to-do.

  4. Open the email and click Preview.

  5. Check that the footer appears as expected and that the opt-out link redirects to your customized landing page.
