When setting up provisioning, ensure that you assign the necessary Gong seats for your team members. If you enable settings that require a seat, but don't assign the seat, the features won't be available for those team members. Once the seat is assigned the permissions and settings will be enabled for the team members.

Prerequisites

  • Gong account with Tech admin privileges

  • Salesforce account with admin privileges

Supported features

  • Create users: New users created in Salesforce will also be provisioned in Gong

  • Update users: Updates made to the user's profile in Salesforce will be pushed to Gong

    The following attributes are provisioned automatically: emailaddress, firstname, lastname, title, phone_number, cellphone_number, phoneExtension, active, usertimezone, userlocale

  • Deactivate users: Deactivating the user or disabling the user's access to the application through Salesforce will deactivate the user in Gong

    It can take up to 24 hours after deactivating someone in Salesforce before they are disabled in Gong.

  • Reactivate users: Reactivating a user in Salesforce will reactivate the user in Gong

  • Manage user data capture permissions and license: Use Salesforce fields to automatically manage data capture settings, permission profiles, workspaces & licenses.

Configure Salesforce in Gong (Advanced track)

Follow these instructions to configure Salesforce in Gong when automatic assignments are available.

  1. Click Company settingsPeople area > Team Member Provisioning.

  2. Select Salesforce as the provisioning source.

  3. Create an assignment to assign data capture, workspace, and permission settings for users imported from Salesforce:

    1. In the Assign settings area, click ADD ASSIGNMENT.

    2. Give the assignment a name.

    3. In the User filter area, filter Salesforce users by SOQL filter to import selected users only.

    4. Select the Gong seats you want users in this group to have assigned to them.

      Note

      Ensure you assign the Gong seats required for the permissions and other settings included in the assignment.

    5. In the Workspaces and permissions area, set the permissions profile for each workspace in your organization.

    6. In the Data capture area, select which data should be captured and imported to Gong. For details see About managing team members.

    7. In the Update settings area, define how settings can be managed for this assignment:

      • Select Manual editing to manage data capture and permission settings for users in this assignment in Gong.

        After you create the assignment: if you make changes to group settings in Salesforce, they will not be pushed to Gong. However, you can edit the group settings manually in Gong.

      • (Recommended) Select Automatic updates to give Salesforce governance over data capture and permission settings in Gong.

        Define data capture and permission settings in Gong only when creating an assignment. Thereafter, other changes will only be applied to users in groups with this assignment when pushed from Salesforce.

    8. Click ADD ASSIGNMENT.

      All users in Salesforce who match the SOQL filter will belong to this assignment. However, note that Gong does not provision:

      • Inactive users

      • Users with no first or last name

      • Users with an email domain different than the company's domains, unless the Convert team member's email domain to the company's primary domain is checked (see step 3i - advanced assignment options).

      If you create multiple assignments, the uppermost assignment in the assignments table will determine which assignment the user is provisioned settings for.

    9. Set advanced options for the assignments you create:

      Note

      The advanced options are intended to cover backward compatibility only. We strongly recommend that all checkboxes in the advanced options are kept cleared (not selected).

      • Ignore organizational structure in Salesforce

      • Keep team members active even when they are deactivated in Salesforce or no longer match a filter: This option is not recommended because team members will continue to have access to Gong, even though their profile does not match the provisioning requirements.

        Note: For orgs already set up with both assignments determined by SOQL filters and team members set to remain active when deactivated in Salesforce, this checkbox is split.

      • Convert team member's email domain to the company's primary domain

        By default, Gong does not import users from Salesforce if their email domain as defined in Salesforce does not match any company domain.

      • Provision new users from additional domains, in addition to your primary domain. Enter domains separated by a comma or on a new line. By default, users with different domains are not provisioned. Add additional domains if you want these users to be provisioned.

  4. In the Manager's provisioning settings area:

    1. Select Notify direct managers with recorded teams when a new team member is imported to send a notification by email when new team members are automatically provisioned.

    2. Select Managers can turn data capture on or off for their team to allow direct managers to change the data capture settings for their team members.

      Note: This setting lets managers enable data capture despite not being a technical admin. If you only want appointed tech admins to have this capability, make sure this box is not checked.

  5. Click UPDATE to save your settings.

  6. Click REIMPORT USERS NOW to update existing and create new users in Gong immediately, without waiting for the next scheduled sync.

Configure Salesforce in Gong (Basic track)

Follow these instructions to configure Salesforce in Gong when automatic assignments are not available.

  1. In Company settings > People > Team member provisioning.

  2. Select Salesforce as the provisioning source.

  3. In the Provisioning settings area, do one of the following:

    • To import selected users, select Filter users by SOQL expression, and then filter Salesforce users by SOQL filter.

    • To import all users, select All users (no filter).

  4. Select the permission profile to apply to for automatically provisioned users.

    More information on permission profiles.

  5. Set advanced options for automatically provisioned users:

    Note

    The advanced options are intended to cover backward compatibility only. We strongly recommend that all checkboxes in the advanced options are kept cleared (not selected).

    • Ignore organizational structure in Salesforce Check this option to change managers with auto provisioning. Clear this option as and when needed.
