Required permissions: Create and manage flow rulesets

Manage existing rulesets to update their configuration, control which flows use them, or remove ones you no longer need.

Find a ruleset

The Flow rulesets page lists every ruleset in your company. Before you edit or delete a ruleset, the list shows how many flows use it.

From the left sidebar, click Assets, and select Flow rulesets.

Each ruleset in the list shows:

  • Ruleset Name and Description

  • Applied to flows, showing how many flows use the ruleset, split by whether those flows are enabled or disabled

  • Created by and Last updated by

You can search the list by ruleset name, by description, or by the name of the team member who created or last updated it, and sort it by clicking the arrow in the column header you want to sort by.

Edit a ruleset

Important:

Editing a ruleset applies the change immediately to all flows using it, including flows with people currently active in them. Before editing a shared ruleset, check how many flows use it and consider the impact on active outreach.

Edit a ruleset to update its name, description, or rule configuration. To update the rules themselves, see Configure ruleset rules.

To edit a ruleset:

  1. From the left sidebar, click Assets, and select Flow rulesets.

  2. Next to the ruleset you want to edit, click the More actions iconAction Menu.svgand select Edit.

  3. Make your changes.

  4. Click Save.

Set a ruleset as the default

The default ruleset is automatically applied to any new flow. Only one ruleset can be the default at a time. When you set a new default, the previous default ruleset remains available but is no longer applied to flows automatically.

To set a ruleset as the default:

  1. From the left sidebar, click Assets, and select Flow rulesets.

  2. Next to the ruleset you want to set as default, click the More actions iconAction Menu.svgand select Set as default.

Apply a ruleset to multiple flows

Apply a single ruleset to several flows at once to update outreach behavior across a group without editing each flow individually.

To apply a ruleset to multiple flows:

  1. From the left sidebar, click Assets, and select Flow rulesets.

  2. Next to the relevant ruleset, click the More actions iconAction Menu.svgand select Apply ruleset to flows.

  3. Select the flows you want to update.

  4. Click Next, then click Apply.

Note:

This change affects behavior for all selected flows, including active flow instances. Learn more about how rulesets work.

Delete a ruleset

You can delete a ruleset only when it is not the default and no flows are currently using it. To delete a ruleset that is in use, first move its flows to a different ruleset. To delete the default ruleset, set another ruleset as the default first.

To delete a ruleset:

  1. From the left sidebar, click Assets, and select Flow rulesets.

  2. Click the More actions iconAction Menu.svgand then select Delete.

  3. Confirm the deletion.

Frequently asked questions

Why can't I delete a ruleset?

You cannot delete a ruleset that is currently assigned to flows or is the default. Assign those flows to a different ruleset, or set a different default, then try again.

What happens to flows that use a ruleset when I edit the ruleset?

Changes apply immediately to all flows using the ruleset, including flows with people currently active in them. Before editing a shared ruleset, review how many flows use it and consider the impact on active outreach.

Can I create a ruleset that overrides the global company flow settings?

No. Company flow settings take priority. If the ability for contacts to be in multiple active flows at one time is disabled globally, the exclusivity option in rulesets is locked. If a global opt-out setting is on, the opt-out footer option in rulesets cannot be turned off. Rulesets let you configure behavior within the boundaries set by company flow settings, not override them.
