Editing flows with active contacts and leads
You can edit a flow at any time. What you can change depends on whether the flow has contacts. Locking the structure of flows with active contacts and leads helps keep reporting clear and prevents version confusion.
Open the flow you want to work on by going to Engage from the main menu on the left-hand side, then Flows, then select the flow you want to work on.
If a flow has no active or past contacts, you can:
Add, delete, or reorder steps
Change step types
Edit step content and timing
If a flow already includes contacts, structural changes are locked to keep reporting accurate. You can’t:
Add new steps
Delete steps
Reorder steps
Change step types
You can still:
Edit step content (email subject and body)
Update timing and delays
Modify assets within steps
To make structural changes, duplicate the flow and edit the new version.
How edits affect contacts already in a flow
Edits apply only to steps that haven’t been generated yet.
Edits applied to existing to-dos
Message updates reflect in scheduled or upcoming steps
Timing changes apply if the to-do hasn’t been created yet
New steps at the end of a duplicated flow apply as contacts reach them
Auto emails use the latest content as long as the email hasn’t been drafted yet. The draft is created right before send time. If you update the subject or body before the draft is created, the scheduled email will use the updated content. Changes to timing won’t affect auto emails that are already scheduled for contacts who have reached that step.

Changes won’t affect steps where a to-do has already been generated
For example, if a contact is already on step 3 and that to-do exists, updating step 3 won’t affect them. If they haven’t reached step 3 yet, the update will apply.
When a flow has active contacts or leads, you’ll see a banner at the top of the flow editor explaining these restrictions. If you have permission, the banner also includes a Duplicate flow option so you can quickly create a copy and make structural changes there. This helps ensure that contacts already in a flow continue through the same structure and that reporting remains consistent and accurate.

What happens to contacts and leads in the original flow if I duplicate it?
Contacts and leads in the original flow remain there. There is no connection between the original flow and the duplicated flow.
The new flow has no active contacts and leads upon duplication, so you can modify its structure.
Do I need to pause contacts and leads in the original flow and add them to the duplicated flow?
This is up to you. Gong does not automatically move contacts between flows.
What if contacts and leads are at different steps when I duplicate the flow?
Contacts remain in the original flow at their current step. Gong does not automatically move contacts to the duplicated flow. If you want contacts to move to the new flow, you need to manage that transition manually.
