View and manage team activity

The Activity page gives you a calendar view of your team's scheduled meetings, helping you stay coordinated and identify opportunities to collaborate. Activity page helps you:

  • Identify support opportunities: Managers can spot calls where they can jump in to help close deals or coach in real-time.

  • Prepare effectively: Access AI meeting prep directly from scheduled calls to join meetings fully informed.

  • Monitor team capacity: Get a visual overview of meeting load across your team to balance workloads.

This quick start guide shows you how to navigate the Activity calendar, and troubleshoot common setup issues.

Navigate your Activity calendar

To access Activity, go to Activity in the left sidebar. You'll see a calendar view showing previous and upcoming meetings.

View and filter meetings

  1. Change the date: Use the arrow keys to move backward and forward through the calendar. Click Today to return to today's date.

  2. Change the team: Enter a team manager's name to see that team's schedule. This is particularly useful for managers overseeing multiple teams.

  3. Show short calls: Calls shorter than 2 minutes are hidden by default. Turn this toggle on if you want to see them.

  4. Zoom in and out: Use the + and - buttons to zoom in for a clearer look at overlapping meetings or zoom out for an overall view.

Interact with meetings

  1. Click an event to open a panel with full information:

    • See the opportunity's account details including account name, amount, stage, and close date.

    • See call details including time and participants.

    • Click Action Menu.svg to:

      • Go to account to see the full account page.

      • Listen later. Add the call to your list for reviewing later.

    • Click Join to join a live call as a participant.

    • Click Listen in to listen in on the call without participating.

    • Click Go to call to review the recording once the call has taken place.

    • Click Prepare to access the AI meeting prep page with summaries, context, and suggested questions.

    • Delete meetings: Remove meetings not scheduled for recording.

  2. See email activity. Click the bar at the bottom of the calendar to see a digest of daily email activity.

Prepare for meetings

You can access AI-powered meeting prep directly from the Activity calendar to get ready for upcoming calls. This allows you to prepare for meetings while viewing your schedule for the week or beyond.

  1. View the calendar showing your scheduled meetings.

  2. Click on any call that hasn't started yet or has just started (marked as LIVE).

  3. Click Prepare to access the AI meeting prep page with pre-meeting summaries, participant information, recent activity, and suggested questions.

Make sure you're connected

Activity shows scheduled calls from connected calendars and CRM data. Proper setup is essential to get the most from Activity.

Calendar connection

Activity displays your scheduled calls, so make sure your team's calendars are all connected:

  • Google workspace: Follow the calendar connection instructions to sync your Google calendar.

  • Office 365: Follow the calendar connection instructions to sync your Outlook calendar.

If someone's schedule appears empty, they may not have connected their calendar to Gong. Check with the team member, and if everything seems configured correctly, contact your technical admin.

CRM integration

Connect your CRM to Gong to see enriched information about calls, including:

  • Account name

  • Deal amount

  • Deal stage

  • Close date

This context helps you quickly assess which meetings are most critical.

Telephony system

If your organization uses a telephony system, you'll see additional call data after calls have been imported into Gong.

What appears in the Activity calendar

Activity syncs every 15-30 minutes when Gong integrates with your calendar. Depending on your company settings, you can expect to see:

  • Meetings, both those set to be recorded and those that are not

  • Calls scheduled in the past where recording was skipped

  • Telephony system calls imported into Gong

  • Imported emails

What doesn't appear

  • Calendar invitations sent to mailing lists do not appear in an individual's calendar and so aren't imported into Gong.

  • Team members not set to be recorded. If you have a team member who isn't set to be recorded but is included in recorded calls, you'll see those calls in their calendar under Activity.

  • Missing team members.  If someone on your team is missing from Activity entirely, your business admin can check and update the team hierarchy.

Troubleshooting

Why can't I see Activity?

Contact your business admin to make sure your permission profile allows you to see Activity.

The current time indicator seems wrong

The red line shows you the current time so you can see what's happening right now. Check your time zone settings in your profile if you think the current time is incorrect.

Someone's schedule is empty

Someone's schedule may appear empty for several reasons:

  • They haven't connected their calendar to Gong

  • Their calendar sync is experiencing issues

  • They're not part of the team hierarchy

Check with the team member first. If everything seems configured correctly, contact your technical admin for assistance.
