When multiple reps are reaching out to contacts at the same account, one contact replying or booking a meeting is a signal to stop all outreach for that account. Configure a ruleset to automatically remove all contacts at the account from active flows the moment any one of them engages.
Important:
This configuration removes all contacts at the account from all flows across your team, including flows owned by other reps. It applies to contacts only. Leads are not affected. Before using this setting, confirm your CRM account associations are accurate and that your team's outreach strategy supports account-wide removal.
Step 1: Open or create a ruleset
Create a dedicated ruleset for account-based outreach, or edit an existing one. Keeping this separate from other rulesets makes it clear which flows have account-wide removal enabled.
To open or create a ruleset:
From the left sidebar, click Assets, and select Flow rulesets.
Click Create ruleset and enter a name (for example, "Account-based outreach"), or click the More actions icon
next to an existing ruleset and select Edit.
Step 2: Remove all account contacts when someone engages
Set both the email reply and meeting booked actions to remove all contacts at the account from all flows. This ensures outreach stops across the whole account as soon as engagement is detected.
To configure reply handling:
Under Response handling, set the email reply action to remove all account contacts from all flows.
(Optional) Select create a response to-do so the rep who owns the flow gets a follow-up task.
To configure meeting booked handling:
Set the meeting booked action to remove all account contacts from all flows.
(Optional) Select create a meeting booked to-do to generate a follow-up task for the rep.

Step 3: Save and apply to your account-based flows
The account-wide removal settings take effect only after the ruleset is saved and applied to your flows. Apply it to any flow used for account-based outreach.
To save and apply:
Click Save.
Click the More actions icon
next to the relevant ruleset and select Apply ruleset to flows.
Select the flows used for account-based outreach and click Apply.
Note:
Applying a ruleset to active flows takes effect immediately. Contacts already in those flows will be subject to account-wide removal from the moment the ruleset is applied.
Frequently asked questions
What happens to leads (not contacts) in the CRM?
Leads are not affected by the "remove all account contacts from all flows" action. Leads do not have an account entity in the CRM, so they cannot be identified as belonging to the same account. If your team uses leads alongside contacts, those leads will remain in their flows even after the ruleset fires.
Does this affect flows owned by other reps?
Yes. Account-wide removal applies to all flows for contacts at that account, regardless of who owns the flow. A rep working one contact at an account may not be aware that another rep is working a different contact at the same account. Make sure your team understands and expects this behavior before enabling it.
What if the account-wide removal didn't work?
Check that the contacts are linked to the same CRM account record and that your CRM data has synced to Gong recently. Old or incomplete account associations can prevent the rule from identifying all contacts at the account. Learn more about troubleshooting ruleset issues.
