A renewal forecast board is used by revenue teams to track and predict upcoming contract renewals for existing customers. It typically includes customer accounts with contracts nearing expiration, forecasted renewal amounts, probability or confidence levels of renewal, and status indicators.

The goal of a renewal forecast board is to help teams proactively manage retention, forecast recurring revenue, and identify churn risks.

This article provides a basic recipe for a renewal forecast board. You can use it as is or adjust it to your specific forecast needs.

Step 1: Build your metrics

  1. Build the following basic metrics:

  • Up for renewal:

    • Base object: Deals

    • Aggregation: Sum of UFR Amount

    • Filtered by: Record Type = Renewal

    • Team member: Owner/CSM

    • Period: Close/Renewal date

  • Won renewals:

    • Base object: Deals

    • Aggregation: Sum of ARR Impact Account

    • Filtered by: Record Type = Renewal, Status = Closed won

    • Team member: Owner/CSM

    • Period: Close Date/Renewal Date

  • Open renewals:

    • Base object: Deals

    • Aggregation: Sum of ARR Impact Account

    • Filtered by: Record Type = Renewal, Status = Open

    • Team member: Owner/CSM

    • Period: Close/Renewal date

  • Lost renewals:

    • Base object: Deals

    • Aggregation: Sum of ARR Impact Account

    • Filtered by: Record Type = Renewal, Status = Closed lost

    • Team member: Owner/CSM

    • Period: Close/Renewal date

  • Forecasted renewals:

    • Base object: Deals

    • Aggregation: Sum of ARR Impact Account

    • Filtered by: Record Type = Renewal, Forecast = Commit, Most likely

    • Team member: Owner/CSM

    • Period: Close/Renewal date

  1. Build the following formula metrics:

  • Total Retention:

    • Formula: Won Renewals/Up for renewal

    • Format: Percent (%)

  • Forecasted Retention:

    • Formula: (Forecasted renewals + Won renewals)/ Up for renewal

    • Format: Percent (%)

  • Forecasted Churn:

    • Formula: Up for renewal - (Won renewals + Forecasted renewals)

    • Format: Currency

  • Total Churn:

    • Formula: Closed renewals - Won renewals

    • Format: Currency

Step 2: Build your columns

Add the following columns to your board:

  • Metric column:

    • Title: Up for renewal

    • Related metric: UFR

    • Additional metric: Open renewals

  • Metric column:

    • Title: Forecasted retention

    • Related metric: Forecasted Retention

    • Additional metric: Forecasted Renewals

    • FF: Use Metric as target

  • Metric column:

    • Title: Actual Retention

    • Related metric: Total Retention

    • Additional metric: Won Renewals

  • Metric column:

    • Title: Churn

    • Related metric: Forecasted churn

    • Additional metric: Total churn
