In Gong, users can add alias email addresses in their profile along with their primary email address. When entering user profile details in Gong, you can enter an alias email address in addition to your mandatory primary email address.

If you have an Engage license, you can set up additional email addresses for sales reps using different domains to mitigate the risks of being marked as spam.

Primary email address

A primary email address generally shares the same domain as your company, for example jennifer.juniper@acme.com is employed by company Acme with the same domain: www.acme.com. Meaning there is a direct correlation between the domain of the company and the domain of the user.

When a user participates in a call using their primary email address, it helps Gong to:

  • authenticate the user

  • map the user to a company

By leveraging the domain information Gong can determine if a meeting is external or internal.

  • Internal meetings: all meeting participants share the same email domain (@acme.com) as the company domain (www.acme.com)

  • External meetings: meeting participants have a mixture of domain endings

This simplistic approach to mapping works great if everybody in a company only ever uses one email address, and each email address has the exact same domain as the company. But what happens if a company has two domains, for example www.acme.com and www.acme.co.uk? How does Gong map a user to a company when the user has two email addresses? For example, an IT worker may have a company email address which includes their first name and surname ([email protected]), but the same IT worker may also have a secondary company email address according to their jobtitle ([email protected]). To resolve these issues (mapping and authentication), Gong allows you to enter multiple alias email addresses in a user's profile.

Alias email address

An alias email address is a secondary email address that can be used in addition to the primary email address. When a user's profile contains additional email addresses, Gong maps the addresses to the user's primary email address. Therefore, when participants join a meeting with a mixture of different email domains, Gong can still determine if the meeting is external or internal. In addition, by associating multiple emails to a primary email, Gong can optimize the process of authenticating users.

When to use additional or alias email addresses:

  • A user has multiple email addresses belonging to the same company, corporation or entity

  • A user has multiple email addresses that need to be associated to the user's primary email address

Important

Never ever use a personal email address as an additional or alias email. A user's profile should only ever contain company email addresses.
