See how to set up Gong Engage reports in Salesforce. Included are reports on rep activity and performance, as well as reports on flows prospects are in and their impact on business. By setting up these reports, you get a comprehensive picture of how prospecting is succeeding in your company.

All reports listed:

  • Can be configured to suit your specific business scenarios.

  • Display results from the last 30 days. You can change this as needed.

  • Display results for all users. You can set up separate reports for different roles or teams as needed.

Prerequisites

Make sure:

  • You are exporting the necessary Engage data

  • You defined the task types correctly in the Engage to-do activities section

Activity reports

Create reports showing your reps’ Engage activities, accounts and people in flows.

User activity report

  • Description: Display user activity in the last 30 days grouped by task type.

  • Customizations:

    • Define additional task types to see more detailed breakdown of activities for each user

    • Filter by roles to see how many different activities users with different roles perform

  • Logic: Count unique activities for each rep that are captured or generated by Gong

The report is configured as follows:

  • Report type: Tasks and Events

  • Outline:

    • Show me: All activities

    • Date: Last 30 Days

    • Show: Completed Activities, Tasks

    • Engage Flow Name: not equal to ““

  • Groups:

    • Group rows: Assigned

    • Group columns: Activity Type

    • Columns: Date

  • Chart definitions:

    • Display as: Bar

    • Y-Axis: Assigned

    • X-Axis: Record count

Example:

Accounts added to flows report

  • Description: Display the number of accounts each rep has added to an Engage flow

  • Customization: Filter by relevant account properties, such as account types or region

  • Logic: Count the number of unique accounts each rep added to a flow

The report is configured as follows:

  • Report type: Tasks and Events

  • Outline settings:

    • Group rows: Added to Engage Flow By, Account Name

    • Columns: Contact ID

    • Summary Formula Columns: #Accounts

      • Column Name: #Accounts

      • Description: Number of Accounts

      • Formula Output Type: Number

      • Decimal Points: 0

      • Formula: ACCOUNT_ID:UNIQUE

      • Display: All Summary Levels

  • Filter settings:

    • Show Me: All accounts

    • Last Activity: Last 30 Days

    • Currently in Engage Flow: equals True

  • Chart definitions:

    • Display as: Bar

    • Y-Axis: Added to Engage flow by

    • X-Axis: #Accounts

Example:

People added to flows report

  • Description: Displays the number of people (contacts or leads) each rep has added to an Engage flow

  • Customatizations: Create separate reports for contacts and leads, by adding a filter where the lead or contact does not equal ''

  • Logic: Count the number of unique prospects each rep added to a flow

The report is configured as follows:

  • Report type: Tasks and Events

  • Filters settings:

    • Show me: All activities

    • Date: Last 30 Days

    • Show: Completed Activities, Tasks

    • Subject: starts with [Gong

    • Engage Flow Name: not equal to ““

    • Name: not equal to ““

  • Groups:

    • Group Rows: Assigned, Name

    • Columns: Activity ID

    • Summary Formual Columns: #People

      • Column Name: #People

      • Description: Number of People

      • Forumla Output Type: Number

      • Decimal Points: 0

      • Formula: WHO_NAME: UNIQUE

      • Display: All Summary Levels

  • Chart definitions:

    • Display as: Bar

    • Y-Axis: Assigned

    • X-Axis: #People

Example

Flow outcome reports

Create reports showing your how successful your flows are in creating new business.

Flow effectiveness: funnel

  • Description: Displays the number of prospects that are in each flow and their flow status

  • Customization: Filter by account types to compare results between similar accounts. This can be any filter such as size, region, or any unique custom field.

  • Logic: Counts the number of unique prospects that are currently in a flow, grouped by the flow status

The report is configured as follows:

  • Report type: Contacts and Accounts

  • Groups:

    • Groups Rows: Engage Flow Name, Engage Flow Status

    • Columns: Full Name. Create a formula for the person’s full name so you can switch to display details row.

      • Column Name and Description: Full Name

      • Formula Output Type: Text

      • Formula: FIRST_NAME & ‘ ‘ & LAST_NAME

  • Filters:

    • Show Me: All accounts

    • Created Date: Last 30 Days

    • Engage Flow Name: not equal to ““

  • Chart definitions:

    • Display As: Stacked Bar

    • Y-Axis: Engage Flow Name

    • X-Axis: Record Count

    • Stack By: Engage Flow Status

Example

Flow effectiveness: revenue

  • Description: Displays the potential income for each Engage flow

  • Customizations: Add filters for the Opportunity Record Type, or Opportunity Type to see potential income for similar opportunities in each flow

  • Logic: For each flow in a task or event, finds the opportunity listed in the Related Opportunity field and sums up the amount of all opportunities for each flow.  

The report is configured as follows:

  • Report Type: Opportunities with Activities

  • Groups:

    • Groups Rows: Engage Flow Name

    • Columns: Opportunity Name, #Amount

  • Filters:

    • Show Me: All opportunities

    • Created Date: Last 30 Days

    • Engage Flow Name: not equal to ““

Create the report

If you don’t have a reports type defined, you’ll need to create one:

  1. In the Setup area, select Report Types and click New Custom Report Type.

  2. Set the report definitions:

    1. Primary Object: Opportunities

    2. Report Type Label: Opportunities with Activities

    3. Report Type Name: Opportunities_with_Activities

    4. Description: Opportunities with Activities

    5. Store-in Category: Opportunities

    6. Deployment Status: Deployed

  3. Set the Report Records Set:

    1. A to B Relationship: Each “A” record must have at least one related “B” record.
