# To-dos created by you

### To-dos created by you

These include one-off to-dos you can create for yourself. Use them to set yourself reminders, to plan your day, or to break down your next step for a deal or an account into smaller action items. You do not need to be the contact or lead owner to create an associated one-off to-do.

When creating a one-off to-do, you can choose the to-do type: email, call, or task.

Depending on which task type you choose, the to-do appears in the To-dos page under its respective column. The to-do type is set to **Email**by default.

For a one-off to-do where you've selected email or call as to-do type, selecting the person you want to email or call is required. For leads, no account will be shown. For contacts, the connected account will be shown automatically.

For a one-off to-do where you've selected task as to-do type, selecting a person is optional. If you select a lead from the list, the account field is disabled. You can also leave the **Person**field blank and just choose an account.

Adding a specific time to the due date is optional. Click **Show time** to add a time.

You can also assign a priority level. Priority levels include Low, Medium, High, and Critical. All to-dos default to Medium unless updated.

To associate a one-off to-do with a deal, you need to be a deal owner.

## Assign one-off to-dos to someone else

You can create a one-off to-do and assign it to another team member. This helps clarify priorities and next steps across your team and keeps work visible in the right context.

When you assign a one-off to-do to another team member:

- The to-do appears in context under the relevant person, deal, or motion, so it’s visible to others who have access
- The assignee can filter and view all one-off to-dos that were assigned to them by others
- To-dos created by someone else display a "Created by [Name]" indicator for visibility

### How to assign a one-off to-do

You can assign a to-do from several places, including your to-do list, account view, person view, pipeline view, and the Gong extension.

To assign a one-off to-do:

- Click + New to-do
- Select the to-do type
- Choose the assignee (inactive users will not appear on the list)
- Select the contact or lead
- (Optional) Select a related deal
- (Optional) Select a priority level. Priority defaults to **Medium** if unchanged
- Add details such as due date and description. Optionally, when setting the due date, click **Show time**to select a specific time
- Save.

The to-do will appear for both you and the assignee.

### Permissions

Managers can assign one-off to-dos by default. For other team members to assign one-off to-dos, your admin must ensure the "Assign flows and to-dos to others" permission is enabled in their permission profile.

Both the creator (assigner) and assignee must have access to the related person and deal. Team members can assign a to-do on a deal associated with the assignee even if they are not associated with the deal themselves.

### Visibility and ownership

To-do assignees can view all to-dos created for them and can complete or dismiss them.

Creators can view, edit, mark complete, or dismiss the to-do (except for sending follow-up emails).

Both the creator and assignee will see the to-do in the account or deal view.

### Editing and completion

Assignees can update the due date and time directly from the to-do table or through bulk inline editing. Assignees can complete or dismiss the to-do, but cannot edit or reassign it.

Creators can edit, dismiss, or mark the to-do as complete at any time.

Any team member can access this feature if they have the required permissions.
