# Salesforce provisioning setup

When setting up provisioning, ensure team members have the necessary Gong seat. Features that require seats won't be available until seats are assigned.

When provisioning with Salesforce:

- Gong imports the following user attributes automatically: emailaddress, firstname, lastname, title, phone_number, cellphone_number, phoneExtension, active, usertimezone, userlocale.
- You can manage user permissions and data capture settings for Salesforce users by creating assignments in Gong.
- When someone is deactivated in Salesforce, it can take up to 24 hours for the change to take effect in Gong.

## **Configure Salesforce in Gong**

To set up provisioning with Salesforce:

1. Go to **Admin center > Settings** > **People** > **Team Member Provisioning.**
2. Select **Salesforce** as the provisioning source.
3. Create an assignment to assign data capture, workspace, and permission settings for users imported from Salesforce:
  1. In the **Assign settings** area, click **ADD ASSIGNMENT**.
  2. Give the assignment a name.
  3. In the **User filter** area, filter Salesforce users by SOQL filter to import selected users only.

Select the Gong seats you want users in this group to have assigned to them.

> Ensure you assign the Gong seats required for the permissions and other settings included in the assignment.
  4. In **Workspaces and permissions**, set the [permissions profile](/v1/docs/about-permission-profiles) for each workspace.
  5. In **Data capture**, select which data should be captured and imported to Gong. For details see [Add or edit a team member](/v1/docs/add-or-edit-a-team-member).
  6. In **Update settings** area, define how settings can be managed for this assignment:
    - **Manual editing**: Manually manage data capture and permission settings for users in this assignment in Gong. After you create the assignment, if you make changes to group settings in Salesforce, they will not be exported to Gong. However, you can edit the group settings manually in Gong.
    - **Automatic updates**: (Recommended) Changes in Salesforce are reflected in Gong. Define data capture and permission settings in Gong only when creating an assignment. After this, all changes are only be applied if the settings in Salesforce are changed.
  7. Click **ADD ASSIGNMENT**. All users in Salesforce who match the SOQL filter will belong to this assignment. Gong does not provision:

If you create multiple assignments, the user is assigned the settings in the first assignment they are provisioned in.
    - Inactive users
    - Users with no first or last name
    - Users with an email domain different than the company's domains, unless the **Convert team member's email domain to the company's primary domain** is checked.

## Advanced options for provisioning

#### **Ignore organizational structure in Salesforce**

When selected, Gong does not build the company hierarchy according to the hierarchy defined in Salesforce. Team members appear in a flat list.

**Behavior when enabled**

- If selected when you set up provisioning, Gong does not build a hierarchy at all.
- If a hierarchy already exists in Gong and you turn this option on later:
  - The existing hierarchy stays as-is. Going forward, the hierarchy isn’t updated when changes are made in Salesforce.
  - New users aren’t placed in a hierarchy. You’ll need to set their manager manually in Gong.
  - Once a hierarchy exists, there’s no automatic way to “flatten” it. Turning this option on does not override or delete an existing hierarchy.
- **Assignment**[**Update settings**](/v1/docs/about-provisioning-team-members#automatic-vs-manual-updates): The assignment settings affect the company hierarchy as follows:
  - If you select **Automatic updates** in the assignment, then:
    - If **Ignore organizational structure in Salesforce** is OFF: Gong builds and continues to sync the hierarchy from Salesforce.
    - If **Ignore organizational structure in Salesforce** is ON: Gong maintains the hierarchy in Gong and does not sync changes from Salesforce.
  - If you select **Manual updates** in the assignment, then:
    - Changes to the hierarchy in Salesforce won’t be reflected in Gong.
    - Any manual changes made in Gong will be retained.
    - If **Ignore organizational structure in Salesforce** is off: New users will be provisioned according to their hierarchy in Salesforce.

**To maintain company hierarchy in Gong:**

- Select **Ignore organizational structure in Salesforce**
- In the assignment, set **Update settings** to manual

#### **Keep team members active even when they are deactivated in Salesforce or no longer match a filter**

When selected, team members remain active in Gong even if:

- They are deactivated in Salesforce
- They no longer match the SOQL filter

This is not recommended, as it may allow unnecessary or unauthorized access to Gong.

Note: For organizations already set up with both assignments determined by SOQL filters and team members set to remain active when deactivated in Salesforce, this checkbox is split.

#### **Convert team member's email domain to the company's primary domain**

By default, Gong does not import users from Salesforce if their email domain as defined in Salesforce does not match any company domain.

#### **Provision new users from additional domains, in addition to your primary domain**

By default, users with different domains are not provisioned. Add additional domains if you want these users to be provisioned. Enter multiple domains on a new line.

## **Manager's provisioning settings**

1. Select **Notify direct managers with recorded teams when a new team member is imported** to send a notification by email when new team members are automatically provisioned.
2. Select **Managers can turn data capture on or off for their team** to allow direct managers to change the data capture settings for their team members.

> **Note**: This setting lets managers enable data capture despite not being a technical admin. If you only want appointed tech admins to have this capability, make sure this box is not checked.

## Save and apply changes

1. Click **UPDATE** to save your settings.
2. Click **REIMPORT USERS NOW** to update existing and create new users in Gong immediately, without waiting for the next scheduled sync.
