Ensure your calls are recorded

Article summary

Once you're set up for call import, Gong automatically records or uploads every call, and you don't have to do anything.

  • For web conferencing, Gong is there as an additional participant, as long as you added the call to your calendar with a meeting link.

  • For telephony systems, the recorded call is automatically uploaded to Gong.

Best Practices: Web Conferencing Calls

Although Gong automatically records *most* of your meetings, there are some exceptions. Follow these tips to help ensure your web conferencing calls are captured.

Schedule your meeting at least 30 minutes in advance

  • Gong requires enough time to scan and analyze your calendar event to schedule the recording

  • For last-minute (or unplanned) meetings or calendar event updates, add the Gong bot manually. See Record an impromptu call.

Ensure a valid web conferencing URL is present in the calendar event

  • Include the URL when you create the calendar event

  • Avoid adding the URL to an existing event at the last minute as it may not allow enough time for Gong to scan and analyze the update to your event

Don't mark the event as ‘Private’ on your calendar

  • Marking an event ‘Private’ on your calendar hides the meeting details from Gong. Without these details, we can't join the meeting.

Make sure Gong has access to your meeting room

  • If you're using a “waiting room,” make sure you allow the bot into the meeting

  • If your meeting is password protected, make sure that Gong has the password. See Recording calls with a Zoom passcode

Additional Tips

  • Be mindful of your organization’s recording settings.

    • Ask your manager or tech admin to confirm whether your organization records both internal and external meetings, OR external meetings only.

  • Always start your meeting on time

  • Don't decline calendar events if you are the organizer

  • Use the assistant to record meetings hosted by someone outside your organization. See Record meetings with the Gong assistant.
