# Capture and analyze calls

Gong’s AI revenue platform [automatically records](/v1/docs/understanding-call-recording), transcribes, and analyzes your calls. This intelligent call-capture understands context, such as business relevant topics, and can identify patterns across calls to create actionable insights in the form of [briefs](/v1/docs/catch-up-quickly-with-the-ai-briefer).

Gong highlights key topics, objections, and commitments, so that customer-facing roles stay fully engaged during meetings. Searchable transcripts and AI-powered briefs allow for fast knowledge sharing across the organization, while trends and successful approaches are easily identifiable to implement team improvements.

This quick start guide helps you capture the right calls and shows you how to stop, review, and share recordings.

### Record a call

Automatic call recording according to your organization’s criteria is set up by your company’s tech admin, although you can customize [certain settings](/v1/docs/my-settings).

To ensure [your call is recorded](/v1/docs/how-to-record-calls):

1. The Gong calendar add-on lets you add Gong meeting links to Google or Outlook events. Your tech admin may have installed it company-wide, but if not, you’ll need to [install it yourself]( https://help.gong.io/docs/call-recording-and-consent-settings#install-the-gong-calendar-addon):
  1. Google Workspace: Go to [Gong for Google Workspace](https://gsuite.google.com/u/0/marketplace/app/gong_for_google_calendar/779001639133) and click **Install**, then follow the prompts.
  2. Outlook: Go to [Gong for Outlook](https://appsource.microsoft.com/en-us/product/office/WA200001795?tab=Overview) and click **Get it now**, then follow the prompts. Then add it through Outlook’s**Get add-ins** menu.
2. Set up a meeting in your calendar at least 30 minutes in advance.
3. Add the web conference link using the Gong calendar add-on:
  1. Google Calendar: In **Add video conferencing,** select **Gong meeting**.

  2. Outlook: Click the **Gong** button in the actions bar, then click **Add a Gong Meeting**.

There are several [ways to troubleshoot](/v1/docs/troubleshooting-unrecorded-calls) when your calls aren’t automatically recording.

### Record calls manually

There are several reasons that a call isn’t automatically set to record, for example, last-minute meetings, internal calls (check with admin), or company settings.

You have two options to manually record:

1. Schedule from your Gong homepage
  1. Under Conversations, click ![](https://cdn.us.document360.io/2837c190-3ec8-4120-9116-6d427e774667/Images/Documentation/More_DS.png) followed by **Schedule new recording**.

  2. Enter the meeting details, including: Web conference URL, the workspace, description or title, participant emails if you want to link the call to an account or opportunity, whether it's an external or internal call.
  3. Set the recording to start **Now** or **Later**.
  4. Click **SCHEDULE CALL**.

> Note:
> 
> If you're scheduling a last minute call, it may take up to 10 minutes for Gong to start recording.

1. Invite the Gong assistant
  1. Click your profile icon and select **My settings.**
  2. In **Web conference recording**, click **Copy** to copy your company's unique Gong assistant email address and add to your calendar event's participant list.

  3. You'll receive an email either confirming whether Gong can or can’t record the call.

### Best practices for successful recording

- Schedule meetings at least 30 minutes in advance.
- Don't mark meetings as **Private** in your calendar.
- Check your company’s consent settings: If your consent profile requires written consent, participants must accept via the consent page or the call won’t be recorded.
- Allow all participants to enter meetings via web browser in your web conference provider settings.
- If you’re using a waiting room, allow Gong to enter.

### Stop a call recording

You can [prevent or stop recordings](/v1/docs/prevent-or-stop-a-recording) in a few ways:

#### Before the call starts

There are 3 ways to cancel the call before it starts:

1. Set the call as private in your calendar (at least 30 min in advance.)
2. In **Conversations** on the Gong homepage, click **View upcoming calls.**

3. Use the waiting room to deny entry to the Gong recorder.

#### During a live call

Hosts, team members invited to the call, and tech admins can stop live recordings:

- From the homepage: Select an on-air call and select **Stop recording**.
- From the call page: Open an on-air call, click the menu, and select **Stop recording**.
- Remove the bot: The host can remove the Gong bot participant from the meeting using your web conferencing provider's controls.

#### After a call has taken place

If you didn't prevent or stop a recording, you can delete it, which permanently removes the recording and its data from Gong. This is available based on your permissions. To delete, open the call page, click ![](https://cdn.us.document360.io/2837c190-3ec8-4120-9116-6d427e774667/Images/Documentation/More_DS.png) and select **Delete recording**.

If you want to keep the recording but control access to it, you can [make the call private](/v1/docs/set-a-call-as-private). In the call page, click ![](https://cdn.us.document360.io/2837c190-3ec8-4120-9116-6d427e774667/Images/Documentation/More_DS.png) in the top right corner and select **Set call as private**.

### Review a call

Once a call is recorded, you can [listen to the call](/v1/docs/listen-to-a-call), [view a transcript](/v1/docs/view-a-call-transcript), and get valuable AI insights. Click on a call to [open the call page](/v1/docs/intro-to-the-call-page):

#### Listen to a call

1. Use the playback controls to navigate:
  1. Choose to listen to specific speakers.
  2. Speed up or slow down playback.
  3. Jump 15 seconds forward or backward.
  4. Move the purple timeline point to any moment in the call.
2. Click speaker names on the timeline to jump to their segments, or use the toggle to hear only specific speakers.

#### View a transcript

1. Click **Transcript** on the left side of the call page.
  1. Navigate the transcript:
  2. Click any line to jump to that point in the call.
  3. Search for specific words or phrases.
  4. Select text to create snippets, share content, or add comments.
2. Click the translation icon in the top right corner of the transcript panel to translate into your preferred language.

#### Review your call

You can [review your call](/v1/docs/review-what-happened-in-a-call) using Gong’s AI-powered insights.

- Spotlight: When you open a call page, **Spotlight** appears on the left side of the page, with a structured summary that includes a recap, key points and next steps.
- Briefs tab: See a 1-paragraph recap, key points, and next steps.
- Ask anything: Type questions to get instant answers about the call content.

Additional actions on a call include [sharing it](/v1/docs/share-a-call) and [creating snippets](/v1/docs/create-a-call-snippet), shorter segments of a call.

Any team member can access this feature if they have the required permissions.

Access to this feature depends on your [assigned seat](/v1/docs/plans-and-seats).
